What are the responsibilities and job description for the Preconstruction & Marketing Coordinator position at White-Spunner Construction?
Under moderate direction from the Preconstruction Director and the External Affairs Manager, the Preconstruction & Marketing Coordinator plays a crucial role in supporting both the estimating and marketing and business development functions. This role involves coordinating bid preparations, developing marketing materials, and assisting in the promotion of our services to potential clients.
Essential Functions
Estimating:
- Responsible for keeping up with bid schedule, project dates, pre-bid meetings, pre-qualifications, proposals, etc.
- Responsible for departmental Document Control (Manage bid files, receive/distribute/file appropriately.
- Responsible for preparation and submission of all bid forms and bids, sent via email, uploaded via internet, and/or overnight mail.
- Assist in the assigning and preparing attendees for Pre-Bid Meetings and Bid Submissions defined by the pre-bid check lists and other information necessary.
- Assist Estimators with calling subcontractors and vendors for pricing as needed.
- Responsible for monitoring Public Notices and private websites for bid/proposal opportunities.
- Responsible for working with the Accounting Department to ensure Builders Risk Quotes and Bid Bonds are secured timely.
- Assist in updating Smartbid, Cosential, and other departmental software.
- Risk Assessment by obtaining W9, verifying licensing & obtaining renewals, verifying safety, insurance & renewals, and other required qualification documents.
Marketing/Business Development:
- Coordinate and execute jobsite branding and signage, working under the strategic direction of the External Affairs Manager.
- Manage the marketing database (Unanet).
- Coordinate tickets for company events. Assist Senior Marketing Specialist with guest list and invitations.
- Coordinate the design and production of internal and external promotional materials, invitations, brochures, client leave-behinds, direct mail, and other marketing collaterals as requested.
- Assist, as needed, with the planning and execution of internal and external communications and events.
- Select and order marketing promos in collaboration with the Marketing team and others.
- Assist with work acquisition efforts as needed – proposals, pre-qualifications, supplier registrations, etc.
Perform other related duties as needed.
Job Requirements
Education & Experience:
- High school diploma required; 4 Year Bachelor’s degree preferred.
- A minimum of Three (3) years’ experience in a clerical or administrative role; preferably in the Architecture, Engineering, or Construction industry preferred.
- Detailed knowledge of Microsoft Office, with a vast knowledge of Microsoft Excel.
- Must be very detail oriented and be able to keep up with different lines of communication (i.e., email, phone, text).
- Must have excellent organizational skills.
- Must have excellent communication skills both written and verbal.
- Must be able to balance multiple projects and interact with all levels of people.
- Must be able to adapt rapidly to changing conditions and requirements.
- Ability to read and understand blueprints is a plus.
- Must be able to build and maintain effective relationships with team. members, customers, subcontractors, vendors, and others.
- Display a positive professional attitude, and strong customer service skills.
- Must have high moral/ethical standards.
