Job Title: Outdoor Tour Company Receptionist

Responsibilities:
Customer Service:
- Greet customers in person and over the phone with a friendly and professional attitude.
- Answer inquiries about the company's outdoor tour packages, locations, pricing, availability, and special requirements.
- Provide information about safety guidelines, packing lists, and what to expect on outdoor tours.
Booking and Reservations:
- Process reservations for tours, activities, and transportation using booking systems.
- Confirm customer bookings, including dates, times, and special requests.
- Manage cancellations, reschedules, and refund requests in accordance with company policies.
Administrative Support:
- Manage customer files and records, ensuring they are accurate and up-to-date.
- Process payments (e.g., credit card, online payment systems) and issue receipts or invoices.
- Prepare tour guides and other staff with relevant customer information for upcoming tours.
Coordination with Tour Guides:
- Communicate with tour guides about customer details, such as group size, special needs, or preferences.
- Ensure that guides are well-prepared with equipment and itineraries for each tour.
Providing Information:
- Offer recommendations on local outdoor attractions, activities, and logistics.
- Assist customers with any pre-trip preparation and provide information on weather conditions, gear requirements, and safety protocols.
Problem-Solving:
- Address any customer complaints, cancellations, or issues with tours, ensuring resolution in a professional manner.
- Troubleshoot problems related to equipment, booking errors, or customer concerns.
Promotional Activities:
- Promote the company’s outdoor tour packages, upsell additional tours, and highlight seasonal or special offers.
- Maintain promotional materials like brochures, flyers, and website content related to the tours.
Maintaining Clean and Organized Reception Area:
- Keep the reception area clean, welcoming, and well-stocked with relevant brochures, maps, and company materials.
- Ensure that all necessary forms (e.g., waivers, release forms) are ready for customers to sign before their tours.
Record Keeping and Reporting:
- Maintain accurate records of bookings, customer feedback, and financial transactions.
- Assist in generating reports on bookings, revenues, or customer preferences when needed.
Skills and Qualifications:
- Customer Service Skills: Friendly, approachable, and able to handle customer inquiries and issues professionally.
- Organizational Skills: Ability to manage multiple tasks, bookings, and customers at once.
- Attention to Detail: Ensuring that bookings, special requests, and paperwork are accurate and complete.
- Communication: Clear and effective communication with customers, guides, and other staff members.
- Basic Computer Skills: Experience with booking software, Microsoft Office, or similar tools.
- Sales Ability: Upselling additional tours or services when appropriate.
- Knowledge of Outdoor Activities: Familiarity with outdoor tours (e.g., hiking, rafting, camping) to answer specific customer questions.
- Problem-Solving Skills: Ability to handle customer complaints and resolve issues in a calm and efficient manner.
Physical Demands:
- Active Environment: The receptionist may need to be on their feet for long periods, especially during busy seasons.

Education and Experience:
- Education: A high school diploma or equivalent is required.
Experience: Previous experience in customer service or in the outdoor tourism industry is preferred.
