Position Summary:
The Community Associations (“CA”) Support Specialist, under the supervision of the CA Practice Manager, is responsible for providing technical and administrative support to the Community Associations Collections Practice.
Responsibilities:
- Receive, sort, and distribute incoming CA mail accurately and efficiently.
- Convert physical mail into digital format and enter relevant information into electronic document management system and the CA Practice’s collection system.
- File, save, and distribute electronic documents to the appropriate Community Association paralegals and attorneys.
- Verify the accuracy and completeness of the scanned mail, ensuring all necessary details are captured and documented accurately. Use complete and grammatically correct sentences when updating databases.
- Ensure compliance with organizational policies, procedures, and regulatory requirements related to data entry, privacy, and security. Maintain strict confidentiality and discretion when handling sensitive debtor information.
- Assist CA Practice with overflow support and coverage. Collaborate with CA Support Specialists to coordinate data entry efforts and ensure consistency across the practice.
- Organize and prioritize workload to meet deadlines and accomplish assigned tasks within established timelines.
- Perform other administrative duties as needed.
Skills and Abilities:
- Expertise with word processing and office productivity programs such as Microsoft Word and Outlook.
- Aptitude for learning and use of other office productivity software for databases, scheduling, and e-mail.
- Excellent verbal and written communication skills.
- Ability to organize and prioritize work.
- Ability to work within time constraints.
Qualifications:
- High school diploma or equivalent.
- Three or more years of administrative assistant experience preferred, preferably in a legal environment.
