Whole Child Therapy seeks a Scheduling Assistant who is balanced, professional, dedicated, and an effective communicator. REQUIREMENTS:
- Self-motivated with a can-do attitude
- Ability to juggle multiple staff and client needs with superb accuracy
- Exceptional customer service skills over the phone
- Strong sense of urgency and problem-solving skills
- Strong analytical skills, resourcefulness, and the capacity for problem solving
- Ability to improve processes, develop best practices, and ensure accurate quality results
- Organized and able to prioritize all daily activities with a keen eye for detail
- Strong team orientation and the ability to work collaboratively and effectively with others
- Proficiency in MS Office Suite applications and Google Docs, especially Microsoft Excel and Google Sheets
- Demonstrates discretion and the utmost respect for confidentiality
DUTIES & RESPONSIBILITIES:
- Organize daily/weekly schedules for multiple therapists and clients
- Answer phones and attend to client questions/needs
- Calls parents and staff to ensure scheduling needs are met
- Aid administrative assistant in various administrative tasks
- Run errands
- Utilize complex practice management software
- Run audits to ensure company is running efficiently
- Develop systems/programs to increase customer satisfaction
- Attend meetings as required by clinic manager
- Other duties as assigned by supervisor
ADDITIONAL REQUIREMENTS:
- 2 years secretarial experience preferred
- This position requires a criminal background check, health care registry check, and drug test
- Reliable vehicle
