Job Overview
We are seeking a detail-oriented and dependable professional to ensure the accurate management of our accounts payable records. As an Accounts Payable Clerk, you will be responsible for processing payments and managing expenses by receiving, verifying, and reconciling invoices. The ideal candidate will have experience in assigning invoices to the correct cost centers and collaborating with vendors in the construction industry. Additionally, this role includes various administrative tasks to support our office team and maintain smooth operations. Responsibilities
- Process and manage accounts payable transactions, including vendor invoices and payment requests.
- Collection and organization of job material delivery tickets
- Verifying invoices match purchase orders, contracts, and receipts for job costing
- Entering invoices into accounting system and coding expenses to proper general ledger accounts
- Reconciling Accounts Payable ledger monthly
- Responding to vendor inquires related to invoice and payment status
- Utilize QuickBooks Desktop software for tracking expenses and managing accounts.
- Collaborate with the accounts receivable team to resolve discrepancies and ensure smooth financial operations.
- Maintain files of processed invoices, cheque copies, and other payable records
- Collecting and organizing vendor insurance and W9s as necessary
- Assisting company Controller with annual insurance audits and 1099 reconciliation
- Reconcile Credit Card Statements and generate AP checks
- Support existing staff with daily office responsibilities
Requirements
- Associates degree in business, accounting or related industry experience
- 2 years of experience in Accounts Payable
- Ability to use Microsoft productivity software such as Excel and Word
- Proficiency in using accounting software, especially QuickBooks Desktop, is highly desirable.
- Excellent attention to detail and organizational skills are essential for success in this role.
- Ability to work effectively both independently and as part of a team, demonstrating strong communication skills.
- Willingness to support team with other projects as needed
