What are the responsibilities and job description for the Purchasing Assistant position at Wicomico County?
Overview
The Purchasing Assistant is responsible for assisting the Purchasing Agent in all aspects of procurement for County government including preparation and distribution of solicitations, bid tabulations and award letters as well as correspondence and invoices. Duties Include:
- Process requisitions, assign purchase order numbers, & prepare purchase orders
- Prepare Requests for Quotes, Invitations for Bids, & Requests for Proposals
- Research vendors and maintain /update bidder lists and vendor files
- Post documents on County website and eMaryland Marketplace
- Schedule opening dates
- Work with departments in developing specifications for solicitations
- Attend pre-bid meetings and prepares addendums
- Accept, time stamp, and maintain sealed bids
- Perform receptionist duties for the Purchasing Department
- Maintain database for phone systems, update phone listings, & assign key fobs to County and City employees
- Maintain purchasing card, vehicle leasing, and fuel databases
- Maintain and update insurance files and keep records of insurance claims and report to Insurance companies
- Maintain employee parking records and County vehicle signs
Skills
- High School Diploma or GED;
- Valid Driver’s License;
- Computer literate; Competent in MS Office Suite including spread sheets;
- Understanding of principles & practices of public purchasing;
- Ability to work independently with minimal supervision;
- Ability to communicate with and work alongside other staff members and the general public in a professional manner;
- A comparable amount of training and experience may be substituted for minimum qualifications; Must pass background check and drug testing.
