What are the responsibilities and job description for the Integrative Wellness Clinic Coordinator position at Wildflower Integrative Wellness?
At Wildflower Integrative Wellness Clinic, we are deepening our roots on beautiful Orcas Island and seeking an experienced Clinic Coordinator. This position is approx. 30-35 hours per week and requires supporting one physician in a full-service Holistic Wellness Clinic.
We are seeking an applicant who works well with people, has some management experience and is able to multitask.
This is a dynamic position with changing tasks and goals daily, so we are seeking someone who embodies an internal sense of leadership. A person who is confident and comfortable in their ability to work independently and collaboratively, and able to address tasks and needs as they arise.

You’ll be a part of a team who provide exemplary care for diverse patients and you'll play a valuable role in helping support a vision to nurture the health and wellbeing of our local community.

In support of the holistic well-being of the clinic, you’ll work in tandem with patients and our providers.
Our clinic provides comprehensive medical diagnosis, treatment, management, and preventative care. We support our patients with wellness care tools from both modern and traditional modalities, including: primary care, herbs, nutritional and IV therapies, mindfulness techniques, minor office surgeries, mental health counseling, craniosacral therapy, comprehensive microbiome restoration, environmental toxicity chelation, energy medicine, massage, Women’s wellness, physical medicine, hormone therapy, and more.
As a Clinic Coordinator, you will:
- Help Maintain a peaceful, safe, clean, and welcoming environment
- Warmly welcome patients and provide support during their visit from check-in to check-out
- Collect, schedule, verify, and prep charts with patient demographic, insurance, and payment information
- Answer the phones and respond to voice messages, texts, and secure portal messages
- Sort and file records and documentation from outside facilities, patients, referrals, etc.
- Schedule appointments and inbound referrals; notify providers of any day-of-changes, delays, or any other issues regarding their schedule
- Triage calls and medical information to other support staff or providers from referring physicians, patients, and family members wishing to access care at Wildflower Integrative Medicine.
- Communicate with providers and support staff regarding patients’ needs, treatment schedules, and additional requests
- Maintain dispensary inventory and ordering of products
You should apply if:
- You have a minimum of 2 years of experience in a medical clinic or an equivalent combination of education/experience
- You are passionate about integrative medicine and are interested in career growth and development

- You are resourceful and a team player when it comes to what is best for the clinic
- You take initiative and are creative in reaching and connecting with new patients through occasional interaction with social media and other marketing campaigns
- You are confident and comfortable communicating with patients, family members, outside vendors, and the healthcare community
- You have basic knowledge of Microsoft Office programs
- You have EMR experience (Charm Health a plus!)

Schedule & Location

- This is an onsite position with the potential of a few flexible remote hours
