Position Summary
The Wildlife Conservation Society (WCS) has operations at 5 Living Institutions in New York City and at over 700 project sites in 60 countries around the globe. Over the past decade, the number and importance of programmatic grants and contracts, and in particular government and agency grants, has increased significantly. Receivables from various agencies, organizations and private individuals were approximately $200 million in FY 2021 along with $60 million in grant/contract liabilities. The accounts receivable/grant liabilities are denominated in multiple currencies, e.g. USD, EURO, GBP, CFA, and are across some 500 hundred customers/donors. This position is responsible for the monitoring, invoicing and timely collections of the receivables. The position reports to the Account Receivable Manager.
Principal Responsibilities
The successful candidate must have excellent written and oral communication skills and be comfortable participating as both an effective contributor, leader, and listener in group settings. The person must be well organized, self-motivated, resourceful, effective, and efficient at coordinating multiple resources to get things done, with strong attention to detail; can work on multiple tasks at multiple levels and switch between them; can foresee and plan around obstacles. This position is responsible for financial and administrative functions to ensure accuracy and efficiency in the invoicing, recording, reconciliation and collection of WCS operating receivables.
The physical demands include but are not limited to the use of a Keyboard, 10-key, Mouse, and Telephone Use, Handwriting, Sitting, Standing, Crouching, Kneeling, Bending, Walking, Stair Climbing, minimal Driving, and Lifting up to 50lbs.

- Review grants and contracts to determine revenue recognition criteria for a specific agreement in accordance with FASB’s new Revenue Recognition Standard, effective July 1, 2018, for WCS.
- Perform day to day financial transactions, including verifying, classifying, computing, and creating accounts receivables’ data and entries.
- Review and process of financial reports and invoices in compliance with organizational financial policies, procedures, ensure system accuracy and maintain donor files.
- Create monthly analysis on the minor federal donors such as but not limited to USFWS, USFWS, USGS, NFS, SFS, HUD, etc. on spending for review, withdraw and processes all incoming receivable payments in compliance with financial policies and procedures.
- In coordination with the regional controllers, review the Global Offices accounts receivable activity to ensure that all payments are accounted for, properly posted and local receivable/revenue are accurately booked.
- Facilitate, verify and settle discrepancies of invoices and payment reminders due by sending reminders to, Country Office, Regional Office and contacting grantors as needed.
- Generate financial statements and reports detailing accounts receivable status, e.g., aging reports and trial balance statements.
- Work with the various teams to accurately calculate and report to donor interest income earned on their awards including creating the related entries.
- Perform other duties and special projects in the accounting department as directed by the Director and/or Account Receivable Manager.
- Bachelor’s Degree accounting/business/finance specialization preferred; Accounting collegiate coursework required.
- 2-4 years working experience as accounts receivable clerk, accounts receivable specialist, or other accounting function.
- Non-profit Experience (highly preferred).
- Grant experience preferred at the reporting level back to donor.
- Solid understanding of basic accounting principles, fair credit practices and collection regulations.
- Proven ability to calculate, post and manage accounting figures and financial records such as trial balances.
- Effective “roll up the sleeves” work ethic; Demonstrated ability to work with a diverse team worldwide. Must be solution-oriented, have strong problem solving and analytical skills, take initiative, high degree of accuracy, attention to detail and efficient communication skills.
- Have a good working knowledge of Excel, Word and Outlook and hands-on experience working with accounting/accounts receivable software.
- Customer service orientation and negotiation skills.
- Data entry skills along with a knack for numbers.
