At Wilen, we are looking for Front Desk Administrative Assistant to greet visitors with a welcoming first impression and provide administrative support to our Sales team and the organization.

The ideal candidate will have strong attention to detail, excellent organizational skills and the ability to multi-task in a fast-paced environment.

RESPONSIBILITIES

  • Promptly greet, welcome, assist, and direct visitors upon arrival in a pleasant and professional manner
  • Efficiently answer and operate multi-line phone system and take accurate messages; route appropriately
  • Provide administrative assistance with the coordination and distribution of sales materials
  • Coordinate business travel arrangements, schedule meetings and manage calendar
  • Support the development of presentations, reports and other special projects
  • Maintain the front desk reception area, conference rooms, and office common areas
  • Distribute incoming mail and deliverables and coordinate outgoing shipments
  • Perform administrative tasks, including ordering inventory and maintaining supplies
  • Assist with company event coordination
  • Help support a variety of general office duties and clerical tasks, as assigned

QUALIFICATIONS

  • Availability to work Monday -Friday 9:30am-6:00pm
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and CRM Tools; HubSpot experience a plus
  • Strong organizational and multi-tasking abilities
  • Meticulous attention to detail and accuracy of work including data entry and maintaining records

For New York, the expected hourly salary for this position is between $18.00/hour -$22.00/hour. The actual compensation will be determined based on experience, geographic location, and other factors permitted by law.
