Job Summary:
This position serves as the first point of contact for visitors and clients, providing exceptional customer service and administrative support for Human Resources and Safety departments.
This role is critical in ensuring the smooth operation of the office by managing reception area, handling inquiries, generating reports, monitoring qualifications, and performing various clerical tasks.
Responsibilities include:
- Greet and welcome visitors with a positive and professional attitude.
- Answer, screen and forward incoming phone calls promptly and professionally.
- Facilitate, schedule and coordinate meetings, appointments, conference calls, interviews, site-specific or job specific training, and CISAP drug testing for employees.
- Scan, record, and save new hire orientation and safety documents.
- Assist new hires with orientation tasks, such as paperwork, tours, videos, PPE, and Swag for employees.
- Establish schedules for safety specific required inspections.
- Create and perform Safety compliance calendar items, such as fire extinguishers, eye wash stations, annual inspection check-in, recycling bin)
- Manage ITI (site admin that provides IT support, continually pushes reminders that safety training must be completed, runs reports on completion rates, course assignment)
- Effectively complete and maintain pre-qualifying documents for employees, such as safety forms and maintain record-keeping.
- Maintain recordkeeping file structure for safety incidents, logs and job numbers.
- Prepare and distribute reports for monthly, quarterly, and annual review and completion of safety metrics, performance, ISO status updates, OSHA log and updating insurance information.
- Generate reports and implement action steps for certifications and training; to include eRailSafe, eShortLine, BNSF.
- Monitor software program Samsara and document idle times, speeding, distracted driving.
QUALIFICATIONS AND SKILLS:
- Bachelor’s degree in business administration or related field, preferred. Or equivalent administrative experience.
- Strong team management skills with the ability to inspire and motivate others.
- Excellent communication and interpersonal skills, with the capacity to build rapport and trust with clients and internal team members.
- Proficiency with MS Office Suite including Excell Worksheets.
- Ability to multi-task, flexibility in daily & weekly work schedule to meet deadlines and commitments.
- Experience in a diverse work environment; ability to connect with key decision makers as well as field operations contacts.
- Strong attention to detail.
