Position Summary: As the Administrative Assistant, you will be the first point of contact for guests and callers, ensuring a welcoming and professional experience. This role is essential for supporting office operations, fostering team efficiency, and maintaining a positive environment for clients, partners, and colleagues.
The ideal candidate is detail-oriented, organized, and flexible, with a proactive mindset and a willingness to assist as needed.
Key Roles / Responsibilities:
- Serve as the first point of contact for guests, visitors, and incoming callers, ensuring a professional and welcoming experience.
- Coordinate meeting room schedules, manage office errands, and handle general administrative tasks.
- Provide administrative support to office directives, keeping operations organized and efficient.
- Assist in planning, coordinating, and executing special events, promotions, and office activities.
- Uphold a clean, organized, and professional office environment.
Required Education, Experience, and Qualifications:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Excellent customer service skills.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks and delegate them when appropriate.
- Friendly disposition, personable and professional appearance.

- Recognizes confidential information and maintains it in accordance with standard procedures.
- High School diploma or equivalent, required.
- 1-2 years’ experience in an office environment providing administrative and/or office support required.
- Demonstrated ability to manage multiple priorities simultaneously.
- Familiarity with all major and emerging social media platforms.
- Creative mindset with the ability to convey marketing concepts clearly.
- Commercial real estate experience, preferred.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- May occasionally require the use of the employee's personal vehicle to complete office errands. Mileage will be reimbursed in accordance with the standard rate or reimbursement policy.
