Position summary: Wilks Development is seeking an ambitious and detail-oriented professional to join our dynamic team as an Event Coordinator. This role involves contributing to all aspects of event logistics while ensuring the success of sponsorship programs. From client management to onsite event planning and execution, you’ll play a pivotal role in delivering seamless and impactful events. This role will require occasional evenings, weekends, and holidays.

Key Roles/Responsibilities: 

  • Act as a point of contact for Wilks Property Tenants, addressing inquiries and providing detailed information about events, marketing, etc.
  • Collaborate with tenants to understand their needs and preferences.
  • Build and maintain strong tenant relationships through effective communication and exceptional service.
  • Plan, organize, and execute events.
  • Develop detailed event timelines and schedules for programming of the stage and lawn at The District at Willow Park.
  • Assist in organizing and executing community events hosted at The Shops at Willow Park.
  • Collaborate with the Community Engagement Director to understand logistical requirements for each event, determine event goals, budget, and sponsorship fulfillment.
  • Provide weekly updates on events and sponsorship logistics to the Director.
  • Create comprehensive logistics plans, setup, and breakdown schedules per event.
  • Coordinate event logistics, including catering, décor, entertainment, and more.
  • Attend live events to manage all logistics onsite including set up and tear down.
  • Coordinate logistics, including setup, av support, teardown, access times, and security arrangements.
  • Provide clear and timely communication with all relevant parties regarding logistics details.
  • Assist in creating reports to support sponsor renewals.
  • Maintenance team coordination.
  • Maintain an inventory of event materials and equipment.
  • Coordinate the procurement and storage of necessary supplies.
  • Oversee on-site logistics during events, ensure smooth operations and troubleshooting any issues that may arise.
  • Collaborate with the Director to address any last-minute changes or adjustments.
  • May require trash removal/litter pick up as needed for events.
  • Source, negotiate with, and manage relationships with vendors such as catering services, vendors, and equipment rental companies.
  • Ensure that vendors adhere to agreed-upon timelines and deliverables.

Required Education, Experience, and Qualifications:

  • Required GED or High School diploma.
  • Knowledge of operating audio/visual equipment.
  • Proven experience in event planning and coordination; preferably in a community setting.
  • Experience in sourcing, negotiating, and managing relationships with vendors and suppliers.
  • Demonstrate ability to create and manage event budgets, ensuring cost effectiveness while maintaining quality.
  • Proven ability to handle multiple tasks simultaneously and manage time effectively.
  • Strong background in meeting with clients to understand their needs and expectations and translating those into successful events.

Working Conditions:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Positions self to install equipment, including under desks.
  • Moves throughout the building to access files.
  • Must be able to comprehend and follow written and oral instructions.
  • Must be able to complete tasks even with frequent interruptions.
  • Must be able to use discretion and independent judgment as needed.
  • Must be able to speak clearly on the phone and to fellow workers.
