Reporting to the Director of Student Enrollment Services, the Program Assistant, Administrative Services is responsible for duties that support the daily activities in Student Enrollment Services, assisting prospective, new and continuing students and families, as well as alumni, with navigating through financial aid, billing, itemized statements, payment plans, transcripts and completion of verification and certification documents. The Program Assistant is an integral part of the University's effort to positively influence both student satisfaction and retention and is expected to provide excellent service.
Major Duties and Responsibilities
- Identifies and communicates the availability of student services in a transparent manner; troubleshooting and recommending viable payment / financial solutions.
- Expedites student related inquiries within the areas of student accounts, student records, and financial aid; and processing student service transactions within the aforementioned areas.
- Assists the Associate Director with overseeing the operations at our point of service front counter, end of day closing and reconciliation, assessments at our point of service counter.
- Supports the Assistant Director with escalation of inquiries from our call center, for services provided via phone, text, chat and email.
- Assists the Student Accounts team with the completion of itemized statements requests.
- Helps the Assistant Director with monitoring and engagement in our call center call queue.
- Exercises professional judgment and works with Director to support students with financial need.
- Collaborates with other University staff in understanding the overall needs of students and provides solutions.
- Complies with all departmental policies and procedures, including cash control and security protocols.
- Sets meetings with various student cohorts (and their families) to discuss affordability.
- Attends University sponsored events, such as Accepted Students Day, Welcome week, Orientation, Residential Move in and Open House tabling events.
- Serves as backup on the maintenance the University's Institutional Waiver policy related to Graduate Assistants, Resident Assistants, Employee / Dependent tuition waiver, and NJ tuition waivers including posting waivers to student accounts.
- Ensures accuracy by serving as backup on the verification of bank deposits and approves funds for transfer to Student Accounts office, from partner offices and processes transaction to University's student information system.
- Performing other duties as assigned that are appropriate for the position.
