SUMMARY
The Marketing Coordinator is responsible for assisting the department in maintaining and updating the CRM database and managing the creation of low to mid-complexity proposals. Additionally, this role involves creating marketing materials for proposals, project sheets, resumes, tradeshows, award submittals, promotional materials, and other marketing deliverables. This role will also assist with the website, social media activities, videography, photography, promotional merchandise creation, and other creative content. ESSENTIAL FUNCTIONS
Proposal / Win Work Responsibilities
- Update information systems, including the CRM and marketing Synology database, master resumes, project descriptions, and boilerplate content
- Capture new project information and the closeout of project information into the marketing database
- Build upon CRM Database to create proposal automation
- Coordinate and assemble client-based proposals and presentations
- Design and assemble resumes, project sheets, and marketing packages in InDesign
- Create copy for project sheets, marketing collateral, proposals, and award submittals
- Work directly with senior-level staff to prepare proposal materials
- Ensure all proposal sections are compliant and answer questions clearly
- Request required proposal and interview answers / visuals promptly from the team
- Complete all phases of proposal creation, from peer review of rough drafts to completion and delivery of the proposal and interview items by the required deadline
- Keep SharePoint and Synology files neat and organized following Williams Company protocol.
Marketing, Graphics, Branding, Design :
Manage and assemble internal presentations, including the January Kickoff, Quarterly Updates, and monthly PM / Superintendent MeetingsAssist with employee branding through the creation of internal marketing materials, HRIS branding, ordering business cards, photography, and creating and assembling new hire and employee care packagesEnsure all materials are effectively communicating the strategic vision identified for a given pursuit and align with the organization's BrandCoordinate and assemble materials for award submittalsUpdate company website, ADP home page, create social media content, and office digital signageIllustrative design and graphics creation for promotional merchandise, job site signs, and event displaysMaintain regular inventory count of marketing supplies and standard swag, ensuring the marketing closet and storage areas remain neat and organizedCoordinate with a team the planning of corporate events, including the fall dinner, fundraising events, and employee functionsCoordinate with a team to plan conferences and tradeshows, including registering attendees, booth setup and staffing, and the creation of marketing materials and handoutsActively participates in the Ambassador role on the Employee ESOP Communications CommitteeUpdate project workload and AIA 305 forms quarterlyShoot minor photography and videography of employees, events, and projectsCoordinate details with vendors, including photographers, videographers, printers, and suppliersCompany Values :

Bachelor's Degree majoring in Business, Marketing, Graphic Design, English / Journalism, Communications, or equivalent experience required1 - 3 years of experience in proposal writing or marketing experience in the A / E / C industryIntermediate experience in Adobe InDesign, Photoshop, and Illustrator experience preferredProficient in Outlook, Word, PowerPoint, and ExcelPrevious experience creating professional social media contentPrevious experience creating content via HTML is preferredAbility to work independently and as part of a team on multiple projects with deadline-driven activitiesEffective and professional verbal and written communication skillsHighly detail-orientated and proficient in reviewing and editing written communications and presentations, checking for grammar and formattingDemonstrates strong time management skillsDemonstrates punctuality and a sense of urgencyDisplays personal initiative and professionalism
