Day in the Life :
The Executive Assistant VP will support our Government Affairs and Outreach team and plays a key role in providing administrative and office support. To be successful in this role, you’ll need to be exceedingly well organized, proactive, possess the ability to handle a range of sophisticated assignments requiring the use of experience, innovation and judgment. You’ll work closely with multiple executives and a team of professionals who are located both in the office and at remote locations. You’ll plan events and coordinate with leaders and members of Williams Political Action Committee – including annual visits with PAC executives.
Responsibilities / Expectations :
Provides administrative and clerical support for one or more persons, including work of a confidential nature
Responds to inquiries from our internal and external business partners
Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, preparing presentations, monitoring data, reporting
Maintains cost center data and analysis
Assists with preparation of budgets and forecasts
Supervises work of personnel on assigned projects
Mentors others
Serves as front-facing role for the D.C. office; manages relationship with building facilities and serves as liaison between various departments and office locations
Manages schedules and plans travel for senior executives
Plans and coordinates events with internal and external partners; supports in-person meetings
Develops briefing memos for lobbying activities and trade association event participation
Provides support for federal and state lobbyists, including the development of materials, briefing books, schedules, and meeting trackers
Other duties as assigned
Education / Years of Experience :
Required : High school diploma or GED; a minimum five (5) years’ experience supporting executive management
Preferred : Bachelor’s degree
Other Requirements :
Strong verbal and written communication skills
Demonstrates excellent organizational / interpersonal skills and safety as the utmost priority
Needs advanced knowledge of Microsoft Office Application and PC skills, including Microsoft Teams
Excellent time management skills, including the coordination of executive meetings, calendars and travel
Demonstrates ability to handle confidential and sensitive information
Ability to prioritize and manage multiple projects for various executives and team spanning multiple locations
Ability to manage various team members travel and events
Preferred : Beginner to Intermediate knowledge of SharePoint
