Position Description
The Admission Director oversees all aspects of the admissions process for the Facility. This position is responsible for developing and maintaining optimal occupancy levels and quality census mix. This position represents the Facility to professionals and the community.
Duties and Responsibilities
Administrative Functions
- Receive and follow work schedule or instructions from your supervisor and as outlined in our established policies and procedures.
- Maximize facility census and ensure a high level of resident satisfaction.
- Serve as liaison between the Facility and family members during the pre-admission and admission process. Upon admission, refer family members to appropriate Department Head depending on specific need.
- Admit and prepare identification records for residents in accordance with Facility’s established policies and procedures.
- Provide, review, and explain to the resident and/or guardian Admission paperwork and policies. Obtain the resident or guardian’s signature on all required Admission paperwork in the required time frame.
- Verify all insurance information and obtain insurance authorizations when required.
- Assist in developing procedures to ensure records are properly completed before filing.
- Collect, assemble, and check admission paperwork. Complete Admission Agreement Log per Facility requirement.
- Maintain 401 form compliance.
- Check that rooms are admission ready. Complete room readiness check list.
- Work collaboratively with Clinical/Admissions Liaisons to ensure continuity with the admission process.
- Screen and promptly accept potential admissions for level of appropriateness and financial payment source.
- Assemble admission and sales packets for marketing to hospitals, community referral agencies, residents, and their families.
- Provide notifications for admissions and readmissions to inter-department personnel via established Facility process.
- Meet new residents upon arrival and escort the resident to his/her assigned room.
- Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the Facility.
- Maintain an accurate record of bed availability.
- Conduct tours of the Facility.
- Accommodate for meetings and admissions outside of normal business hours.
- Must attend and be an active participant in the Facility’s Quality Assurance/Performance Improvement (QAPI) program and carry out roles and responsibilities as assigned.
- Implement and maintain customer service-related functions.
- Participate in the development and execution of Facility sales and marketing plan.
- Assist with sales and marketing events.
- Attend and actively participate in Facility sales and marketing calls and meetings. Carry out roles and responsibilities as assigned.
- Participate in marketing the facility by providing excellent customer service to residents, family members, and community agencies.
- Responsible for the management of the referral tracking process, referral platforms, and CRM system.
- Responsible for completing and submitting required sales and marketing forms.
- Coordinate with Infection Control, Social Services, and Nursing Staff on room moves.
- Responsible for initiating and facilitating internal and community sales and marketing strategies.
- Keep abreast of current Medicare or Medicaid regulations governing admission and discharge requirements of health care facilities.
- Assure that work or assignment areas are clean and records, files, etc. are safely stored before leaving such areas on breaks, end of workday, etc.
- Perform other reasonable duties as assigned by supervisor.
Committee Functions
- Serve on various committees of the Facility, as directed.
Staff Development
- Attend and participate in facility mandatory in-service training programs as scheduled.
- Attend and participate in workshops, seminars, etc., as approved.
Resident Rights
- Follow facility’s established procedures.
- Must adhere to all HIPAA requirements.
Working Conditions
- Works in office areas as well as throughout the Facility.
- Attends and participates in continuing educational programs.
- Is involved with residents, family members, personnel, visitors, government agencies and personnel, etc.
- Communicates with the medical staff, nursing personnel, and other department directors.
Education
- Bachelor’s degree preferred.
Experience
- Prior admissions experience in health care facilities preferred.
