Responsibilities:
The Event Planner/Coordinator's responsibilities include, but are not limited to:
Event Planning:
- Collaborate with clients to understand their event objectives and requirements.
- Create detailed event plans, timelines, and budgets.
- Source and manage event vendors and suppliers, negotiating contracts when necessary.
Logistics and Execution:
- Oversee event setup, ensuring all elements are in place and running smoothly.
- Coordinate with staff and volunteers to ensure all roles are clear and well-organized.
- Act as the point of contact during events, addressing any issues or changes promptly.
Client Relations:
- Maintain ongoing communication with clients, providing updates and addressing concerns.
- Ensure that client expectations are met or exceeded, leading to positive client feedback and referrals.
Venue and Resource Management:
- Secure event sales and necessary resources, ensuring they meet the event's requirements.
- Handle logistics related to permits, licenses, and insurance for events.
Budget Management:
- Monitor event budgets and expenditures to ensure projects stay within financial constraints.
- Prepare post-event financial reports for clients and management.
Creative Input:
- Provide creative input for event design, decorations, and themes.
- Stay updated on current event trends and suggest innovative ideas to enhance client experiences.
Documentation and Reporting:
- Maintain detailed records of event plans, communication, and vendor contracts.
- Provide post-event reports and analysis for evaluation and improvement.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, or a related field.
- Proven experience in event planning and coordination.
- Excellent organizational and time management skills.
