Position Summary
The Patient Services Coordinator is service-focused role responsible for delivering an exceptional experience to patients. This involves patient scheduling, handling inquiries, ensuring accurate documentation and payment collection, and facilitating communication between patients and their care team.
Compensation and Benefits
The compensation for this position is $19.00 per hour. WCC offers competitive salary and benefits including medical, dental, vision, 10 vacation days for first year employees, 12 paid holidays, sick leave, life insurance, pet insurance, retirement plan, employee assistance program and free employee parking.
Education & Experience
- High school diploma or equivalent required; Associate’s degree or higher in Healthcare Administration or related field preferred.
- Minimum of 1 year of experience in a healthcare or medical office setting, with experience in patient scheduling and front desk operations preferred.
Essential Position Responsibilities
- Schedule and confirm patient appointments, ensuring optimal use of resources and minimizing patient wait times.
- Coordinate patient referrals and follow-up appointments with appropriate departments or specialists.
- Manage and resolve appointment scheduling conflicts and ensure timely communication with patients.
- Greet patients and visitors, providing a warm and professional first impression of the facility.
- Check patients in and out, verifying insurance information, and collecting co-payments or payments for services.
- Answer phone calls, emails, and other correspondence, addressing patient inquiries and providing information about services.
- Ensure accurate and timely entry of patient information into electronic health records (EHR) and other systems.
- Maintain confidentiality and security of patient records in compliance with HIPAA regulations.
- Assist with the preparation and processing of patient documentation, including consent forms and insurance authorizations.
- Serve as a liaison between patients and healthcare providers, addressing patient concerns and ensuring their needs are met.
- Provide information and guidance to patients regarding their care, treatment options, and financial responsibilities.
- Assist patients with navigating the healthcare system and accessing available resources.
- Prepare and maintain reports related to patient services, appointment metrics, and other relevant data.
- Assist with inventory management, ordering supplies, and ensuring that the front office area is well-organized and stocked.
- Coordinate and communicate with other departments to ensure seamless patient care and service delivery.
- Adhere to all relevant policies, procedures, and regulatory requirements to ensure high-quality patient care and services.
- Participate in quality improvement initiatives and contribute to the development of best practices in patient services.
- Complete other duties as assigned
Skills
- Strong interpersonal and communication skills, with the ability to interact professionally with patients, healthcare providers, and team members.
- Proficiency in using electronic health records (EHR) systems and other relevant software applications.
- Excellent organizational and multitasking abilities, with attention to detail and accuracy.
- Ability to handle sensitive information with discretion and maintain patient confidentiality.
- Bilingual Spanish required.
