Position: Conference Coordinator

Location: Charlotte, NC (Zip Code 28277)

Salary Range: $55K-$62K per year


About the Role: As a Conference Coordinator, you will play a crucial role in supporting the planning, coordination, and execution of our conference events. You will work closely with our conference team to ensure seamless event delivery, provide exceptional customer service to stakeholders, speakers, and vendors, and contribute to the success of our conference portfolio.


Key Responsibilities:

  • Assist in the planning and coordination of conference events, speaker coordination, and logistical arrangements.
  • Support the implementation of event technology solutions to streamline registration, attendee engagement, and post-event evaluation processes.
  • Provide administrative support to the conference team, including scheduling meetings, collecting and maintaining speaker materials, and preparing project documentation.
  • Serve as a primary point of contact for conference speakers, delivering high-quality customer service.
  • Assist with onsite event logistics, including registration setup, speaker and attendee check-in, room setup, audiovisual support, and exhibitor coordination.
  • Manage virtual events and virtual conferencing platforms.

Qualifications:

  • 3 years of demonstrated experience in event planning, conference coordination, or related roles.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Proficiency in Microsoft Office Suite and familiarity with event management software (e.g., Cvent, Eventbrite) is a plus.
  • Bachelor's degree in business, hospitality, event management, or a related field (preferred).

Additional Requirements:

  • Travel may be required for onsite event management and industry conferences (10%-20% of working time).
  • Flexibility to work evenings and weekends as needed.
