Purchasing Specialist II

JOB SUMMARY:
The Purchasing Specialist II purchases services and goods according to Company policies and procedures. This position works closely with the Controller to assess the purchase needs and budgets accordingly. The Purchasing Specialist II communicates with vendors to obtain quotes of services or goods, negotiates volume and available discounts. This position partners with vendors to verify purchasing terms and conditions are clear and agreed upon and products are delivered according to schedule. The Purchasing Specialist II reports to the Controller and provides excellent customer service to team members and customers while demonstrating the company values and supporting the Company’s mission.
JOB DUTIES AND RESPONSIBILITIES:
- With guidance, develop and maintain purchasing policies and procedures
- In collaboration with Controller, identify and maintain procurement and/or tracking software
- Work closely with Controller to assess the purchase needs of each department and budget accordingly
- Occasional branch and department visits to assess needs and identify potential process improvements
- Purchase services and goods according to Company policies and procedures
- Work closely with Fixed Asset Specialist to maintain proper classification of assets
- Develop and maintain professional relationships with vendors
- Partner with vendors to verify purchasing terms and conditions are clear and agreed upon and products are delivered according to schedule
- Receive purchase orders, invoices and other forms. Reconcile documentation for completeness, accuracy and approval.
- Communicate with vendors to obtain quotes of services or goods
- Works with vendors to negotiate volume and cash transaction discounts, and other available discounts
- Make recommendations for cost savings or service improvements
- Research vendors and collect prices, specification, and other data related to services and goods
- Maintain complete and accurate purchasing documents to include appropriate and reasonable terms and conditions
- Perform ongoing analyzes of current vendors based on price, reliability, capability, and previous transaction history
- Maintain pricing histories and other vendor records
- Maintain knowledge of trends, prices, buyers, and delivery conditions to anticipate future material availability; facilitate purchasing programs accordingly
- Develop and maintain inventory databases for supplies and materials used
- Communicate with suppliers to resolve problems that may arise regarding delivery, quality, price, or conditions of sale
- Coordinate removal or disposal of surplus materials
- Adhere to compliance with all federal bank regulations and laws, including those for consumer protection and the Bank Secrecy Act/Anti-Money Laundering Program
- Attend training as requested
- Perform other duties as assigned
REQUIRED QUALIFICATIONS:
- High school diploma or GED
- 3 years of relevant purchasing experience
- Accounting and/or banking experience preferred
- Proficient with Microsoft Office suite to include Excel and PowerPoint
- Ability to perform a high volume of numerical detail work with speed and accuracy
- Must possess excellent organization and communication skills as well as the ability to interact with co-workers and external vendors in a helpful and professional manner
- High critical thinking and analytical skills required
- Fluent understanding of all the working pieces of the purchasing process
- Ability to train Purchasing Specialist I
