The Administrative Assistant is responsible for various functions supporting the office environment, and also supporting the accounting department.
Essential Functions
- Execute day-to-day Accounts Payable and Accounts Receivable activities.
- Process daily invoices and expense reports.
- Answer incoming calls and make outbound calls to customers.
- Vendor contact for Accounting Department to address open items.
- Assist with online permit applications, business license filings, and insurance certificate requests.
- Set up and maintain customer and vendor profiles in QuickBooks and ensure data integrity.
- Assist with creating and maintaining a detailed manual of procedures and workflows.
- Organization of electronic and physical data storage including daily filing.
- Data entry into company CRM.
- Other duties and special projects as assigned.

Work Environment
This job operates in a professional office environment M-F from 8-5. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and scanners.
Required Education and Experience
- High School Diploma.
- Minimum of 2 years of experience with QuickBooks, preferably in a construction company setting.
- Highly Proficient in Word, Excel, Outlook.
- Knowledge of and experience with accounts payable and accounts receivable functions.
- Strong ability to organize and prioritize work to consistently meet daily, weekly, monthly, and annual deadlines.
- Effective oral and written communication skills; excellent interpersonal skills.
- Understands and practices confidentiality/privacy of personnel information.
- Wide knowledge base of different software systems with strong computer usage experience, including Word and Excel, networks and email systems.
- Must have a strong attention to detail, be well organized, and capable of meeting tight deadlines in a high-pressure environment with multiple competing priorities.
- Ability and desire to problem solve and to lead innovation of processes, procedures and tasks.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 20 – 25 per week
