Position Details:
- Location: In-office, full-time, Monday to Friday
- Experience: One year of office admin experience preferred, but not required (we will provide training!)
- License: No real estate license required
Job Responsibilities:
- Customer Service: Be the friendly face and voice of our office. Provide excellent service to brokers, clients, visitors, and the team to create a positive experience for everyone you interact with.
- Office Operations: You’ll be on the team responsible for ensuring the integrity of the office space, ordering supplies, and keeping everything organized and running smoothly.
- Administrative Support: Assist brokers and their teams with administrative tasks as well as answering phones, greeting visitors, scheduling meetings, and providing day-to-day support.
- Listing Management: Assist with the listing process, including entering new properties into the northwest multiple listing service (NWMLS), creating marketing materials (flyers, brochures, postcards, etc), setting up showing schedules, uploading supporting documents, and updating listing information as needed
- Transaction Coordination: Manage the administrative aspects of real estate transactions, including electronically filing contracts, and additional documents. Verify all paperwork is completed and submitted in a timely manner.
- Marketing Assistance: Lend a hand with marketing efforts, creating print and digital materials to help brokers advertise properties and build their brands.
- Problem Solving: Be resourceful and help solve challenges as they arise—whether it’s tech issues or office-related problems, your proactive mindset will make a difference.
- Training and Education: Help support our brokers with training on systems, tools, and technology.
- Technology Proficiency: We’ll teach you the ins and outs of the technology you’ll use, so a strong end-user who can easily adapt to new software and troubleshoot basic issues will thrive in this role. Whether it’s setting up emails, managing contacts, or navigating our CRM systems, your ability to learn quickly and help others with technology will be an asset to the team.
- Event Coordination: Assist with organizing and executing fun office events like holiday parties, lunch & learns, and networking functions.
