Job Title: Administrative Assistant IV
Wage/Hour Status: Nonexempt
Reports to: Department Administrator – College and Career Readiness
Division/Department: Superintendent
Pay Group: S35 Salary Plan
Primary Purpose: Serve as Administrative Assistant to the Department Administrator and provide support and training to district staff.
Qualifications
Education/Certification/Experience:
High school diploma from an accredited high school or High School Equivalent.
Seven years of full-time, wage-earning general clerical, secretarial, or administrative support experience.
Type 55 net words per minute with no more than ten errors verified by the appropriate Texas Workforce Commission or TDCJ typing test preferred.
This position requires personal technology that will enable the completion of job duties and responsibilities when working remotely.
This position requires travel.
Special Knowledge/Skills:
Excellent oral and written communication skills with the ability to convey ideas and instructions clearly and concisely.
Skill to interpret and apply rules, regulations, policies, and procedures.
Knowledge of school district organization, operations, and policies.
Skill in the use of computers and peripheral equipment.
Proficiency in the use of Microsoft Office Suite to include Word, Excel, PowerPoint, and Outlook to develop, organize, and maintain data, calendars, and correspondence.
Ability to provide guidance and assistance to others.
Major Responsibilities and Duties:
- Provide training, support, and guidance to campus administrative support staff.
- Respond to inquiries regarding regulations, policies, and procedures.
- Coordinate meetings, activities, conferences, and trainings, and prepare related materials and attendance records.
- Manage and maintain schedules and travel arrangements and prepare and audit travel vouchers.
- Compile and edit data. Prepare, edit, and distribute correspondence, reports, studies, forms and documents.
- Maintain and update files for college and university contracts, purchasing, billing, and correspondence.
- Serve as point of contact for guidance and assistance related to postsecondary; receive and process purchase requests and facilitate the approval process; and provide assistance in maintaining postsecondary budgets.
- Prepare and process requisitions and reconcile discrepancies in department budget.
- Audit and reconcile postsecondary registration, tuition and fee and other billing data.
- Perform other duties as assigned.

- Maintain confidentiality in handling sensitive information received in the performance of the job duties.
- Perform duties in a professional manner through daily, punctual attendance at locations of work assignment.
- Follow Windham School District policies and procedures in completing assigned job duties.
- Execute duties in a professional, ethical and responsible manner as defined in 19 TAC Chapter 247, Code of Ethics and Standard Practices for Texas Educators.
