The Operations Coordinator reports to the Production Manager and is responsible for a variety of tasks related to the administration of our customer’s replacement window, siding, and door installation projects. The Operations Coordinator will coordinate the scheduling and follow up on new installations, ensuring that projects are executed timely and accurately, keeping the customer updated throughout the process.
Core Role Responsibilities
- Schedules installation appointments ensuring jobs are scheduled in an efficient and timely manner
- Reviews pending installations and verifies product arrival and labor workbooks
- Actively oversees installation pipeline, closing and updating jobs daily
- Manages installation paperwork to ensure that the installation crews are prepared for each scheduled installation
- Understands each installation crew’s abilities and appropriately assigns a qualified crew to each new project
- Receives and maintains inventory of orders providing timely ETAs to all stakeholders
- Resolves relevant customer issues to ensure a high level of customer satisfaction
- Collects payments/submits funding for completed jobs to maintain DSO within company standards
- Performs other duties as assigned
Basic Qualifications
- High school Diploma or GED
- 1 years of administrative support or scheduling experience
Preferred Qualifications
- Experience maintaining accounts receivable
- CRM experience a plus
- Customer-centric mindset
- Demonstrated success in deadline-driven and high-pressure environment
- Home Improvement/Home Services experience a plus
- Proficiency in Microsoft Office Suite
