Job Summary:
The Receptionist serves as the first point of contact for members, visitors, and vendors in the Wings Financial Advisors' office. This role is vital to ensuring a welcoming and professional experience while providing administrative support to the team.
Essential Functions:
- Greet members and visitors warmly, ensuring a professional and courteous first impression.
- Manage check-ins for scheduled appointments and notify team members of arrivals.
- Maintain the reception area, conference room and break room, ensuring cleanliness and readiness throughout the day.
- Answer incoming calls promptly and professionally, assisting members when possible, or transferring calls to the appropriate team member if unable to assist.
- Process check requests and check deposits as requested.
- Monitor inbox for faxes, emails and appointment requests and follow procedures for responding or reassigning to the appropriate staff.
- Qualifying and scheduling appointments for advisors and coordinators.
- Monitor, and disburse incoming mail, payments, faxes, packets and deliver to appropriate Coordinator for further processing as needed.
- Log incoming and outgoing client documents and forms in Salesforce.
- Scan and upload image only client related documents (non-electronic correspondence, statements, etc.) that come in through mail or email.
- Manage office supply inventory and ordering.
- Execute tasks as assigned by supervisor, advisors or coordinators. May include:
- Transaction follow up to ensure completion.
- Calls to LPL or direct business companies for information or to request forms.
- Scheduling follow up with clients or referrals.
- Additional tasks to assist with out of office personnel.
- Sending out client communications (mailings and/or emails) as requested.
- Run requested operational reports – Referrals, month end reports, past due reviews, etc.
- Evaluate the needs of members and provide the appropriate information, and guidance to ensure the needs of the member are met on a timely basis.
- Escalate any member service issues to management as necessary.
- Actively cross sell additional appropriate loan, deposit and fee income products and services in-person, over the phone and in writing.
- Performs other duties as assigned.
Qualifications:
- High school diploma
- Some college experience is preferred, or any combination of training, education, and sales experience that would provide the required knowledge, abilities, and skills.
- Previous credit union or banking experience preferred.
- Customer service experience is preferred.
- Requires working knowledge of computer software (i.e. Windows, Microsoft Office).
- Ability to multi-task.
- Excellent verbal and non-verbal communication skills, well organized, accurate and detail-oriented.
- A professional demeanor, the willingness to participate as a member of a service oriented, and innovative team while demonstrating an enthusiastic attitude and exceptional interpersonal skills.
- Ability to work efficiently in a fast-paced and sometimes stressful environment while having the desire to maintain quality of service.

Pay Range: $20-$22.00/hr. plus a 3% annual target bonus. The estimated hiring range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications, and other job-related reasons.
