Job Summary: The Administrative Assistant provides administrative support to the Winnisquam Career Center (WiCC). The ideal candidate will be responsible for managing front office clerical tasks, assisting the building principal with the application process, enrollment, scheduling and program coordination to ensure the smooth operation of the Center. This role is essential in facilitating communication, and the management of resources, supplies, and materials for the administration of the WiCC and its programming.Duties/Responsibilities: - Maintain a clean, organized, attractive and welcoming main office area at all times. - Monitor and utilize the safe entry system to regulate access to the facility at all times.
- Welcome and direct visitors and students into the WiCC. - Serve as a point of contact for students, parents, and community members, ensuring inquiries are addressed promptly. - Answer and transfer phone calls, screening when necessary. - Maintain communication with sending schools in regards to attendance, scheduling, general program activities, recruiting, and enrollment.
- Provide assistance and support for events, activities and community outreach related to the WiCC and its programming - Prepare and distribute communication materials such as newsletters, flyers, and event announcements. - Assist in the preparation of the Perkins Grant. - Maintain and keep accurate filing systems as assigned - Schedule appointments for the building principal as needed. - Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
- Respond to and resolve administrative inquiries and questions. - Coordinate and schedule travel, meetings, and appointments for the building principal. - Prepare agendas and schedules for meetings, and send calendar invitations as needed. - Record and distribute minutes or other records for meetings.
- Maintain office supplies and coordinate maintenance of office equipment. - Maintain a record-keeping system for operational expenses and manage petty cash as needed. - Submit purchase order requests and place approved orders for supplies, resources, and materials for the WiCC. - Perform other administrative duties as needed to support the success and operation of the Winnisquam Career Center.
- Basic knowledge of or a willingness to learn about the WiCC, its programming, and components of career and technical education. - Ability to work independently and collaborate with team members. - Strong customer service skills and a professional demeanor. - Ability to maintain confidentiality and handle sensitive information appropriately.Education and Experience: - Associates degree or equivalent experience in administrative support or a related field (career and technical education background is a plus).
- Three to five years of experience in an administrative role, preferably in an educational setting.Physical Requirements: - Prolonged periods sitting at a desk and working on a computer. - Must be able to lift up to 15 pounds occasionally for event setup or office organization.
