We are currently looking for a Legal Assistant in the Orlando, FL area.
Job Responsibilities:
- Serve as a primary point of contact for client communication when attorneys or paralegals are unavailable.
- Manage follow-up communications, track important dates, and ensure clients receive timely updates.
- Prepare initial consultation packets and assist with onboarding new clients.
- Respond to inquiries and requests in a professional and courteous manner.
- Schedule client meetings and coordinate logistics.
- Draft, edit, proofread, and format legal correspondence, pleadings, contracts, and other documentation with accuracy and adherence to firm style guidelines.
- Transcribe and scan documents as needed.
- Liaise with clients and third parties to collect and transfer information securely and promptly.
- Maintain digital and physical case files in accordance with firm filing procedures.
- Prepare discovery documents and trial binders under attorney direction.
- Assist with court filings, including electronic submissions via relevant court systems.
- Manage attorneys’ calendars, including scheduling meetings, court appearances, and deadlines.
- Coordinate internal and external meetings, including setting agendas and arranging meeting space and materials.
- Monitor, sort, and prioritize emails, voicemails, and mail for attorneys and paralegals, and respond or route as appropriate.
- Answer incoming calls, screen inquiries, and take detailed messages.
- Provide administrative support to ensure smooth office operations, including ordering supplies, processing expense reports, and supporting office-wide events or luncheons.
- Prepare and maintain daily task lists, reports, and summaries as needed.
Requirements:
- Proficiency in Microsoft Office Suite with expert-level proficiency in Word and advanced skills in Excel and Outlook.
- Willingness to learn and utilize firm software including Smokeball and other case management systems.
- Strong written and verbal communication skills with excellent command of English grammar and legal terminology.
- Ability to manage time effectively, prioritize assignments, and adapt to changing priorities on short notice.
- High attention to detail, accuracy in data entry, and strong organizational skills.
- Ability to maintain discretion and confidentiality at all times.
- Comfortable working independently and collaboratively within a team-oriented environment.
- Ability to sit for extended periods, use stairs, and operate standard office equipment.
- Reliable attendance and punctuality are essential.
Preferred Requirements:
- Prior experience working in a law firm or legal environment.
- Knowledge of legal procedures in civil and criminal court systems.
- Familiarity with e-filing procedures in state and federal courts.
Salary : $40,000 - $50,000
