Job Summary: The purpose and objective of this position is to greet, register and assign rooms to guests of the Institute in a courteous and professional manner. The Hospitality Associate is responsible for furnishing guests with information about daily Institute activities, meetings, schedules.
This is a part time partial benefited position (20-25) hours per week.
Essential Responsibilities:
- Guest registration (taking phone reservations, room assignments, checking guests in/out, guide guests to museum, offer guest excellent hospitality, etc.)
- Ability to learn and use Salesforce database (daily settlement, payments, room charges, reconcile shift transactions)
- Administrative duties as required (printing, faxing, copying, keycards, messages, inquiries, etc.)
- Basic accounting tasks (taking credit card payments, verifying room balance, and doing refunds as needed)
- Facility lock-up. Make rounds to lock/unlock doors as needed. Clear alarms as needed.
- Maintain knowledge and understanding of the Institute’s mission, history, organization, and current events/programs.
Other Responsibilities:
- Assist conference services and programs departments (printing, faxing, copying, etc.)
- Assist with preparing meeting spaces by picking up trash, sweeping floor, and emptying trash cans.
- Position will need to be available to work other Hospitality departments (ex: coffee shop).
- Other duties as assigned.
Requirements
Competency or position requirements:
- Excellent customer service skills
- Ability to process multiple tasks at one time
- Position requires evening shifts, weekends, and some Holidays.
- Good verbal and written communication skills
- Professional and friendly telephone etiquette
- Basic computer and switchboard skills
- Hotel front desk experience will be a plus
Physical Factors (environment): (lifting, standing, sitting, sounds, chemicals, hazards, etc.)
- Must be able to sit or stand for long periods of time (in excess of 2 hours)
- Must be ambulatory (mobile duties apply)
- Must be able to lift a minimum of 10 lbs.
- Must be able to acclimate to varying temperatures.
Employee must be able to safely tolerate the following environmental factors:
- Sounds, noises, chemicals, hazards, associated with responsibilities of assigned work area
- Varying temperatures
- Use of detergents, soaps, scrubs sanitizers, and hot water or other compounds associated with assigned work area
- Use of proper Personal Protective Equipment (PPE) required for assigned work area (face masks, gloves, cutting gloves, etc.)
Quality or Quantity Standards: The Institute expects integrity, professionalism, and high-quality work from all employees.
Required Education: Some High School, or work experience in hospitality or service industry
Required Experience: Hospitality/Hotel experience is a plus
Work Schedule: Position requires evening shifts, weekends, and some Holidays
