DESCRIPTION
Winthrop & Weinstine is seeking a Legal Assistant Coordinator to join our team! The Legal Assistant Coordinator is responsible for overseeing the workflow and development of the legal assistant team while ensuring effective client communication, administrative support, and organizational efficiency. This role will work closely with the Legal Assistant Manager to enhance processes, manage day-to-day operations, and maintain strong relationships to ensure excellent client service. The responsibilities for this position will include, but are not limited to:
- Coordination & Scheduling: Prioritize incoming requests, advise on critical issues, and manage work schedules for the department. Relay directions on delegated matters to ensure timely follow-through.
- Training & Process Management: Develop training plans and assist with onboarding and ongoing training for legal assistants. Analyze workflows to recommend and implement best practices to ensure optimal resource allocation, productivity, and quality service delivery.
- Client & Communication Management: Work with Legal Assistant Manager to ensure proactive and clear communications, ensuring effective interaction with clients and staff. Maintain strong internal and external relationships while handling sensitive and confidential matters.
- Administrative Support & Project Management: Assist Legal Assistant Manager in implementing administrative projects and process improvements, creating reports and maintaining databases.
- Documentation & Correspondence: Prepare and handle confidential documents, reports, and presentations. Ensure proper use of firm templates and maintain consistent document production.
- Performance Review & Team Development: As directed by the Legal Assistant Manager, participate in the performance review process, assist in recruitment efforts, and collaborate with HR to support team members’ growth.
POSITION REQUIREMENTS
COMPETENCIES (KNOWLEDGE, SKILLS AND ABILITIES) REQUIRED:
- Communication Skills: Strong written and verbal communication skills, including proficiency in interacting with all levels of staff and external contacts.
- Organizational & Time Management Skills: Excellent ability to handle multiple tasks, prioritize work, and meet deadlines in a fast-paced environment.
- Problem Solving & Critical Thinking: Ability to analyze workflows, manage complex projects, and provide solutions for day-to-day challenges.
- Confidentiality & Professionalism: High regard for confidentiality, professionalism, and the ability to manage sensitive matters with discretion.
- Customer Service & Client Management: Strong focus on delivering responsive, high-quality customer service and managing relationships effectively.
QUALIFICATIONS, REQUIRED:
- Minimum 4 years of relevant administrative experience, preferably in the legal field.
- Ability to work well under pressure and manage heavy workloads.
- Ability to keyboard 75 words per minute with accuracy.
QUALIFICATIONS, PREFERRED:
- Bachelor’s degree (or equivalent experience).
- Experience with Microsoft Office suite (including Word, Excel and PowerPoint) and iManage.
WORKING CONDITIONS:
- Requires use of office equipment, such as computers, phones, and copiers.
- Requires sitting and computer-related activities for extended periods of time.
- Requires occasional lifting up to and exceeding 20 pounds.
- Job duties may require time over 37.50 hours per week.
- Occasional overtime may be required to complete tasks or handle special projects.
SALARY & BENEFITS:
Competitive salary and performance bonus eligibility. Range $85,000 - $100,000.
