Job Description:
Reporting to the General Manager, the Operations Director oversees and supervises all maintenance activities to ensure that Winton Place and its Unit Owners realize their maximum operational potential. This position also manages the housekeeping staff while ensuring the operation is functioning efficiently, providing Winton place Owners with quality service in a clean/safe environment, and managing the expenses and service levels.
This includes all building systems, such as electrical, plumbing, and mechanical, as well as the physical plant operations. This role does not encompass the activities of receiving, front desk, front office, or guest services staff). This role is responsible for staffing, scheduling, training/developing housekeeping line and supervisors.
Duties and responsibilities include, but are not limited to:
· Maintaining and overseeing materials inventory.
· Interviewing candidates and making recommendations for hiring physical plant operations personnel.
· Preparing and advocating for proposed departmental budgets, including those for capital projects and mechanical system needs, as requested by the General Manager.
· Overseeing computerized maintenance/operational management systems.
· Assisting the General Manager in maintaining Winton Place grounds.
· Directing snow removal operations conducted by Winton Place staff or third-party contractors.
· Providing owner representation and supervision for capital projects, including construction projects, in consultation with and as directed by the General Manager.
· Responsible for planning, organizing, and developing the housekeeping department.
· Follows policies/procedures while striving to improve all standards.
· Ensuring the highest degree of quality resident care.
· Prioritizes tasks, provides guidance, and assigns work to meet deadlines.
· Meticulous feel for detail and the ability to make sound decisions in a busy luxury environment.
· Conducts room inspections for quality control.
· Responsible for maintaining adequate supplies while staying within budget.
Key duties and responsibilities of the Operations Director:
Direct maintenance staff to ensure all systems operate at peak performance, considering their age, condition, and available budget constraints.
Establish staff schedules to prioritize daily maintenance tasks, major building system maintenance and operations, and unit owner maintenance requests.
Analyze maintenance, systems, and operations to identify areas for improvement. Recommend solutions reduce downtime and minimize disruptions for Unit Owner resulting from failure of operating systems.
Develop and implement cost-effective preventive maintenance programs that extend the operational life of equipment.
Implement and maintain detailed maintenance logs for all equipment, ensuring compliance with warranty requirements and industry best practices.
Assist maintenance in diagnosing malfunctions in systems and equipment.
Manage the inventory of spare parts and equipment, ensuring essential items are on-site or provide for ready availability on short notice from third-party sources.
Prepare drafts of annual maintenance and housekeeping budgets for all areas under the Operations Director’s supervision. Present budget recommendations to the General Manager and Winton Place Board concerning all physical plant operations matters. Advocate for budget proposals and explain related physical plant operations matters concerned.
Champion a culture of safety by overseeing staff training, conducting monthly safety meetings and training sessions, to ensure staff understand and prioritize safety for themselves, residents, and the building.
Advise the General Manager and the Winton Place Board on long-range planning and reserve studies, providing detailed input on the remaining useful life of plant and equipment, estimated overhaul needs, or replacement costs, and projected timelines.
Proactively monitor Winton Place’s building software systems regarding operating equipment performance and implement timely and appropriate responses to system information and alerts.
Develop and deliver training to staff to enhance their knowledge of Winton Place’s building operating equipment and systems, empowering them to contribute to effective maintenance and preservation.
Qualifications:
· A bachelor's degree in engineering, plant/industrial management, or related fields is a plus; but an associate degree in related fields or equivalent experience, including military or corporate experience, will be given strong consideration.
· Valid Ohio driver's license with a good driving record, (i.e., no more than four (4) points, with no single 4-point violation).
· A minimum of five (5) years of maintenance leadership experience, or equivalent. Experience in a large physical plant environment is preferred.
· Management experience in and thorough knowledge of housekeeping, or equivalent.
· Excellent communication and follow-up to ensure proper outcomes.
· Experience directing capital projects, including projects involving third-party contractors.
· Substantial experience working with mechanical and electrical systems, including pneumatics, hydraulics, make-up air units, and HVAC/utility systems (low-pressure boilers, chillers, and domestic water supply systems).
· Hands-on approach to repairs, maintenance, or replacements.
· Quality-minded with knowledge of the best operating practices.
· Strong understanding of basic accounting, including budgeting and cash flow.
· Flexibility in an environment where regular day shifts are the norm, but hours in the evenings, nights, or early mornings are expected where circumstances require.
· Commitment to maintaining a very orderly and clean shop environment.
· Excellent leadership skills to direct, schedule, and develop staff technical skills and work ethic.
