We are assisting our client, Meinhardt Group, with the recruitment and selection of an Administrative Manager.
Meinhardt Group is seeking a dynamic and organized Administrative Manager to support a team of 20-25 professionals working on an industrial project in Denver, CO. The ideal candidate will manage administrative operations, ensure seamless office functionality, and provide onsite support at the project office as required. This position demands excellent organizational skills, the ability to multitask, and a proactive attitude to meet the project's evolving needs.
Key Responsibilities:
1. Office Administration:
o Oversee day-to-day administrative operations at the site office.
o Maintain office supplies, equipment, and facilities to ensure a functional work environment.
o Manage schedules, meetings, and communication for the team.
2. Documentation & Reporting:
o Handle project-related documentation, ensuring proper filing and record-keeping.
o Prepare and circulate weekly/monthly reports, meeting minutes, and project updates.
o Assist in processing invoices, contracts, and compliance-related paperwork.
3. Team Support:
o Serve as a primary point of contact for administrative and logistical support.
o Coordinate travel, accommodation, and onsite logistics for team members and external stakeholders.
o Facilitate onboarding for new hires, including office setup and orientation.
4. Site Operations:
o Be present at the site office as needed to coordinate onsite administrative activities.
o Work closely with project managers to address onsite requirements, such as contractor coordination or site-specific logistics.
o Manage relationships with vendors, contractors, and service providers.
5. Compliance & Safety:
o Ensure adherence to site policies and safety protocols.
o Support the team in implementing organizational compliance procedures.
6. Other
o Willingness to take on additional tasks and responsibilities as necessary.
Required Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field (preferred).
- 2 years of experience in an administrative or office management position required; 3-5 years of experience preferred.
- Proficiency in Microsoft Office Suite and familiarity with project management tools.
- Strong written and verbal communication skills.
- Excellent organizational and multitasking abilities.
- Proficient in reviewing, editing, and formatting documents to ensure accuracy, clarity, and consistency, while adhering to organizational standards and guidelines.
Preferred Skills:
- Prior experience in industrial projects or construction-related industries.
- Knowledge of local regulations and permitting processes in Denver, CO.
- Ability to develop engaging and visually appealing presentations, utilizing creative thinking to effectively communicate ideas and concepts to diverse audiences.
- Familiarity with basic accounting and budgeting principles.
