About the Role :
We are seeking a highly organized and detail-oriented Purchasing Manager to join our team in the Events industry. As a Purchasing Manager, you will be responsible for developing and executing purchasing strategies, tracking metrics to reduce expenses, negotiating deals, and managing vendors. You will also be responsible for ensuring the timely and cost-effective procurement of goods and services for our organization. Your primary goal will be to maintain an adequate supply of materials and equipment while minimizing costs and maximizing efficiency. You will work closely with vendors and internal stakeholders to negotiate contracts, manage inventory levels, and ensure timely delivery of goods and services.
RESPONSIBILITIES :
Collaborates with other departments and leadership to identify and develop needs and requirements for equipment, materials, products, and acceptable substitutions.
Assesses current material availability; reasonably predicts future availability based on the market, delivery systems, and other variables.
Prepares and presents market conditions and merchandise cost reports.
Prepares and processes purchase orders and requisitions for materials, supplies, and equipment.
Drafts, explains and implements instructions, policies, and procedures for purchasing and contract management.
Manage procurement budgets, ensuring cost-effectiveness without compromising quality or timelines.
Track and analyze spending trends to optimize procurement processes and identify cost-saving opportunities.
Identify, evaluate, and cultivate suppliers, vendors, and subcontractors relationships for event-specific needs such as equipment, staging, décor, and audiovisual systems.
Coordinate closing out the job and PO in the inventory software.
Negotiate contracts with suppliers, ensuring clarity on deliverables, deadlines, and payment terms.
Ensure that all purchased items meet the required quality standards and comply with event specifications.
Conduct regular vendor evaluations and performance reviews.
Mitigate risks related to procurement, such as supply shortages, shipping delays, or vendor failures.
Develop contingency plans to address potential disruptions.
Evaluate and approve conditions for issuing and awarding bids.
Resolves grievances with vendors, contractors, and suppliers.
Maintains and / or implements purchasing and recordkeeping systems.
Acts as the company’s representative in negotiations with suppliers.
Coordinate removal or disposal of surplus materials.
Administers the departmental budget.
Performs other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES :
Carries out supervisory responsibilities following the organization's policies and applicable laws.
QUALIFICATIONS :
Bachelor's Degree (BA) from a four-year college or university, or one to two years of related experience and / or training, or equivalent combination of education and experience.
Computer skills required :
Accounting Software (QuickBooks);
Spreadsheet Software (Excel);
Contract Management Systems;
Inventory Software (Flex Rental Solutions);
Project Management Software (Asana);
Word Processing Software (Word);
Presentation software (PowerPoint);
Other skills required :
Bachelor's Degree in degree in supply chain management, logistics, or business administration.
