We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The Administrative Assistant will play a crucial role in maintaining accurate records and supporting the smooth functioning of daily operations. As an integral part of our team, the Administrative Assistant will be responsible for filing and organization of project folders, invoices, reconciling vendor accounts, obtaining lien releases, amongst other functions. The ideal candidate will be adept at managing multiple tasks, possess excellent attention to detail, and demonstrate strong communication skills to interact effectively with all departments.
Responsibilities:
- Filing all Project documents: Including but not limited to Invoices, Billings, Pre-lien information, Etc.
- Data Entry Accounts Payable: Input Vendor invoice data into the accounting system, maintaining high levels of accuracy and completeness.
- Records Management: Maintain organized and up-to-date records of all accounts payable transactions and related documentation.
- Assist in the preparation of regularly scheduled reports
- Continuous Improvement: Suggest and implement process improvements to enhance efficiency and accuracy.
Qualifications:
- High school diploma or equivalent; Associate degree in accounting or related fields preferred, but not required.
- Quickbooks experience is not required but preferred.
- Strong organizational skills with the ability to multi-task
- Understand the priority of tasks
- Familiarity with accounting software and proficiency in MS Office applications, especially Excel.
- Bilingual English/Spanish preferred, but not required.
- Excellent time management and organizational abilities to meet deadlines effectively.
- Effective communication skills to interact with vendors.
- Ability to work independently and as a part of a team, demonstrating flexibility and adaptability.
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
