What are the responsibilities and job description for the Scheduling Coordinator position at WMC Health Network?
Schedule interventional, invasive, and non-invasive appointments for physician offices and patients requiring outpatient testing within the WMC Health Network. Provide exceptional customer service and adhere to performance measures for productivity and accuracy. Maintain knowledge of individual tests and scheduling requirements. Coordinate testing to ensure timely scheduling and accommodate patients and physicians without excessive wait times. Distribute department schedules to relevant waitlists, ensuring all patients are scheduled accordingly.
Key Responsibilities:
- Schedule outpatient procedures for the WMC Health Network using the Connect Care Cadence scheduling system.
- Collect minimum required data for registration, ensuring accuracy and completeness while demonstrating a positive attitude.
- Interpret physician orders and understand resource, tech, radiologist, nursing availability, procedures, and equipment limitations.
- Obtain clinical, H&P, and orders when necessary and add exceptions to schedules.
- Communicate prep, recaps, appointment information, arrival times, and locations to callers.
- Search and book procedures using auto and manual search functions and transcribe orders as needed.
- Complete assigned Work Queues (WQs) and maintain all waitlists and schedules promptly.
- Participate in ongoing system training and departmental in-services to increase knowledge of procedures, resources, and processes.
- Handle difficult or upset callers professionally and communicate cooperatively with patients, area supervisors, families, coworkers, administration, clinical departments, providers, community agencies, and other health team members.
- Serve as a liaison between physician offices, patients, and the department or registration team when applicable.
- Maintain high accuracy and attention to detail and perform necessary follow-ups to ensure a positive patient/physician experience.
- Adhere to the WMC Health Network's attendance policy.
