What are the responsibilities and job description for the Buyer - Supply Chain Management position at Woman's Hospital?
The Buyer oversees product acquisition for the hospital, conducting research, managing budgets, and maintaining the GHX dashboard for requisitions and purchase orders. They collaborate with departments, suppliers, and clinical staff to address product discrepancies, backorders, and inventory needs. Works with inventories to ensure proper stocking. Verifies contract pricing and resolves discrepancies with vendor to ensure proper invoicing. Supports and utilizes GPO contracts as the basis for product recommendations to the customers. Follows up daily on all open and backorders. Sets up new items and vendors in the item/vendor dictionary and communicates information to departments and Accounting. Works with the appropriate department and vendor to create, revise and maintain required items within the clinical CDS kits. Supports the Supply Chain Management (SCM) module. Responsible for assigned departments and exception report, i.e., investigation, communication and adjustments of invoice discrepancies within 3.01%. Performs comprehensive research on unavailable products for communication regarding backorders and procurement of alternate products. Works closely with Accounting to resolve discrepancies. Communicates and processes product recalls. Maintains credit card receipts and completes monthly reconciliation. Participates in perioperative/clinical meetings as assigned by Supply Chain Management Director/Manager. Ensures vendors are notified of product complaints, product returns and resolutions communicated to the department. Performs various duties as assigned by Supply Chain Management in accordance to the policies and procedures of Woman's Hospital.
Requirements:
- Bachelor's degree in business-related field OR five years' experience in supply chain management, preferably as a buyer or purchasing agent in a healthcare environment
Responsibilities:
- Works closely with primary vendors to help identify additional cost reduction in products by researching current item information while utilizing Group Purchasing Organization (GPO) contract compliance agreements.
- Maintains spreadsheets tracking cost avoidance, cost increases, cost savings, credit recoveries and GPO comparison of capital purchases.
- Creates regular, capital equipment, minor equipment, service or blanket purchase orders for these requisitions based upon and/or utilizing GPO, PO, price agreements, quotes, service agreements, and MD Buy-Line.
- Reviews requisitions received via Global Healthcare Exchange (GHX), email, capital, and/or minor equipment throughout the day to determine the validity of products information by verifying with the requestor, vendor, contracts and inventory control clerk.
- Maintains capital and minor files (paper and electronic). Provides accounting and requests final departmental copies prior to filing.
- Coordinates changes for products with departments requiring clinical approval and works closely with inventory control and other staff to develop automated purchasing functions to alleviate manual counts, requisitions and orders.
