Overview
We are seeking a friendly and organized Office Manager for our women's health clinic to be the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication skills and a professional demeanor, ensuring a welcoming atmosphere while efficiently managing front desk operations. This role requires multitasking abilities, attention to detail, and proficiency in various office management tasks. Our office manager manages 2-3 part time receptionist. 80% of the role is at the desk, with 20% in private office for administrative tasks.

Responsibilities
- Greet and assist visitors, ensuring a positive first impression of the organization.
- Manage phone systems by answering calls, directing inquiries
- Experience in a dynamic multi-tasking role
- Excellent organizational and time management skills
- Experience working in busy environment
- Excellent communication skills and customer service oriented
- Appointment scheduling for 6 clinicians (this requires navigating phone call, text, email, patient portal communication)
- Initial phone screening, triage and intake for all new patients or established patient
- Facilitating insurance questions/billing for patients
- Inventory management and ordering supplies
- Experience in managing other team members and sharing responsibilities
- Project management experience
- Comfortable learning and communicating with patients about pelvic health diagnosis (ex. bowel, bladder, sexual function, pain)
- Experience navigating all Microsoft Word, Excel, PowerPoint, Gmail, PDF, Canva, preference if experience with an EMR system
- Support office management by coordinating communication with physicians and/or insurance
- Assist with human resources tasks such as onboarding new employees and maintaining personnel files.
- Facilitate event planning by coordinating logistics for meetings and company events.
- Oversee vendor management by liaising with service providers to ensure smooth operations.
- Collaborate with team members to enhance workflow efficiency and maintain a productive office environment.
Experience
- Previous experience in a front desk or receptionist role is preferred but not required.
- Familiarity with phone systems and office management software is advantageous.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills are essential for effective interaction with clients and team members.
- Experience in clerical or administrative roles will be considered an asset.
Experience with Word, Excel, powerpoint, Gmail, Canva is preferred
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
Expected hours: 32 – 40 per week
