Position Description
The Women’s Business Council – Southwest (WBCS) is seeking a Programs and Events Manager, responsible for assisting in the development, design and execution of our 50 events annually (in person and virtual). This position assists in the oversight of all event logistics from vendor negotiation, speaker accommodations, event communication, and post event analysis. The ideal candidate must enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and membership-oriented, be thorough and able to think strategically, have superb editing and proofreading skills, and operate from a positive disposition.
Because our events are business-focused and aim to increase opportunities between our women-owned business and corporate members, preference will be given to candidates who are familiar with supplier diversity, procurement, contracting, etc.
Responsibilities
- Coordinate and implement major signature events, as well as educational and networking events throughout the year
- Manage all program logistics including speakers, catering, venue, program design, scripts, agenda, and presentation materials
- Develop and monitor event expense budgets
- Document and track event sponsor commitments and deliverables
- Create online registration websites, including all relevant emails and surveys
- Manage registration process and refunds for events
- Collaborate with Marketing Manager to feature events in newsletters, social media, etc.
- Oversee on-site registration and volunteer coordination
- Conduct post event follow up
- Lead event and volunteer committees
- Build partnerships with other organizations who serve women-owned businesses
- Maintain accurate data for all events - track, measure, and report on attendance, profit, and feedback
- Maintain data integrity of our contact database as it relates to events – update contact records, add new contacts, classify records based on company type
- Maintain speaker database, researching and vetting as appropriate
- Be open to assisting with program development as new programs come to fruition (a new vertical for WBCS)
- Support Senior Director of Programs in all aspects of the department as needed
Required Education and Background Experience
- A minimum of three years of experience in a position(s) with comparable responsibilities
- Proven skills in event planning and execution
- Demonstrable skills in editing and proofreading
- Experience with online event registration sites; preferably Stova
- Experience with event graphic creation (using Canva or a similar resource)
- Proficient in all Microsoft Office programs
- Organization, time management, customer service, and interpersonal skills a must
Equipment/Systems/Programs Utilized
Computer with Microsoft Windows operating systems; Microsoft Outlook, Word, Excel, PowerPoint, Teams; FileMaker Pro; Canva; Zoom; Adobe Acrobat; Stova
Other Requirements of Position
Sitting and operating a personal computer and telephone for extended periods of time; occasionally standing and walking throughout day to operate other office equipment and for other activities; occasional lifting of up to 30 pounds in transporting materials to events; ability to attend community events, local automobile travel required
