Responsibilities
- Surgical Appointment Scheduling: Coordinate surgical appointments for patients, working closely with physicians, surgical staff, and patients to schedule procedures. Verify patient availability and schedule surgical dates and times based on physician availability and surgical facility schedules.
- Authorization and Insurance Verification: Obtain pre-authorizations and insurance verification for surgical procedures, ensuring coverage and eligibility prior to scheduling surgeries. Communicate with insurance carriers and third-party payers to obtain necessary authorizations and ensure payment arrangements.
- Surgical Facility Coordination: Coordinate surgical facility bookings, including operating rooms, surgical suites, and outpatient surgery centers, as needed for scheduled procedures. Ensure availability of surgical equipment, supplies, and personnel required for scheduled surgeries.
- Patient Communication: Communicate with patients regarding surgical scheduling, preoperative instructions, and surgery preparations. Provide information to patients about surgical procedures, risks, benefits, and postoperative care instructions.
- Documentation and Record-Keeping: Maintain accurate and up-to-date records of surgical appointments, authorizations, and communication with patients and surgical facilities. Document surgery scheduling details in electronic health records (EHR) systems and scheduling software.
- Collaboration and Communication: Collaborate with physicians, nurse practitioners, surgical staff, and other healthcare providers to coordinate surgical care for patients. Communicate effectively with surgical facilities, including hospitals, surgery centers, and outpatient clinics, to facilitate scheduling and coordination of surgical procedures.
- Follow-Up and Postoperative Care Coordination: Follow up with patients to confirm surgical appointments and provide preoperative instructions and preparations. Coordinate postoperative care and follow-up appointments for patients after surgical procedures.
- High school diploma or equivalent required; Associate's degree or certification in healthcare administration preferred.
- Minimum of 1-2 years of experience in surgical scheduling, preferably in a medical practice or healthcare setting.
- Knowledge of surgical scheduling processes, including pre-authorizations, insurance verification, and coordination of surgical facilities.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact effectively with patients, surgical staff, and healthcare providers.
