Overview
We are seeking a detail-oriented and organized Project Administrator to join our dynamic team. The project administrator is a key support role in our processing facility, responsible for managing day-to-day administrative operations. This role requires a proactive individual who can effectively handle customer interactions, production forecasting, inventory coordination, and internal documentation while ensuring compliance with food safety and industry standards. This role reports directly to plant supervisor.
Responsibilities
- Prepare and maintain production and shipping documentation (invoices, delivery slips, labels).
- Ensure all regulatory and internal compliance records are up to date.
- Assist in audits and reporting requirements for food safety and quality assurance.
- Support payroll data entry, HR onboarding tasks, and time tracking (as needed).
- Liaise between sales, production, logistics and accounting departments to ensure smooth operations.
- Coordinate with suppliers for incoming raw material deliveries and documentation.
- Act as the first point of contact for customers via phone, email and in person.
- Manage customer orders accurately and in a timely manner.
- Coordinate order fulfillment with production and logistics teams.
- Resolve customer inquiries, complaints, and issues professionally.
- Utilize the forecast tool to make sure you can provide the production teams with accurate demand.
- Maintain and update inventory records for raw materials, packaging and finished goods.
- Coordinate with production and purchasing departments to monitor stock levels and reordering needs.
- Conduct regular inventory counts and reconcile discrepancies.
- Ensure proper documentation and traceability of inventory items.
- Analyze historical data, sales trends, and customer orders to forecast production needs.
- Assist in creating production schedules in collaboration with plant supervisors.
- Monitor daily output against forecasted volumes and adjust plans as necessary.
Requirements
- High school diploma or equivalent (required)
- Associate's or Bachelor's degree in Business Administration, Supply Chain, or related field (preferred).
- 2 years in an administrative role, preferably in a food production, manufacturing, or meat processing environment.
- Experience with inventory systems and Microsoft Office Suite (Excel, Word, Outlook) is essential, in addition to .
- Familiarity with food safety regulations (HACCP, SQF, USDA) or willingness to learn.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication.
- High attention to detail and data accuracy.
- Ability to prioritize and work independently under pressure.
