The Intake Coordinator is responsible for establishing and maintaining a first- impressions environment at the facility front desk. Duties include phone triage, addressing requests for services and performing client call backs and documents all call activities. Answers inquiry calls about facility services and availability, performs pre-registration, verifies insurance eligibility, and coordinates with the insurance company. Facilitates assessment and/or intake to facility services when appropriate. Provides administrative support to the department of admissions, ensuring the quality of service to clients and their families.

Provides administrative support to the department of admissions, ensuring the quality of service to clients and their families.
Roles and Responsibilities:
Education/Experience:
- High School Diploma or equivalent required.
- One or more years' experience in healthcare admissions preferred. Preferably in the mental health or substance use disorder field.
- Experience in client assessment, referral, treatment planning and communication with external review organizations or comparable entities.
- Knowledge of community resources.
- Outstanding interpersonal and interviewing and assessment skills. Skill in telephone etiquette and paging procedures.
- Conducts pre-admission assessments. Completes admission pre-certification as needed.
- Interviews client, family members and/or collateral sources to assure intake criteria are met. Reviews prospective admissions against approved admission criteria, policies, and procedures.
- Generates, guides, and leads independent discussions with referral sources for client support, conflict resolution and business development with other treatment and healthcare professionals,
- Responds and reacts to the needs of referred clients.
- Assesses family needs for mediation, sober escort and intervention and determines which professional resources are most appropriate to contact based on information gathered.
- Decides which Interventionist and facility to recommend, the dates, and the travel.
- Works closely with other department as well as external parties to ensure the timely admission of clients.
- Documents daily all activities, contacts, appointments, and events in the designated Customer Relationship Management system. Maintains all the documentation involved with the admissions process.
- Completes insurance verifications for all clients per CBO guidelines on all private insurance admissions.
- Screens calls from referrals and sets up transportation for admission.
- Maintains a waiting list for admissions and stays in contact with potential candidates to facilitate admissions.
- Greets and assists clients, visitors and staff at the front office.
- Oversees the traffic flow and incidents in the lobby area.
- Bachelor’s Degree in behavioral health and related field required.
- Five or more years’ experience in a behavioral health environment required.
- Understands common psychiatric disorders and/or dual diagnosis and various treatment modalities of the population served.
- Exceptional knowledge of and skills in verbal de-escalation and crisis intervention
Minimum Of One Year Of Related Supervisory Experience Required.
What you will do:
- Manages day-to-day operations of the units to ensure clinical aspect meet all regulatory requirements for the clients. Supervises, assists and ensures client safety in all client areas.
- Provides information to the charge nurse to assist in the development and revision of the treatment plan.
- Assists the clinical management team in the development and implementation of program strategies.
- Monitors and facilitates daily programming including adhering to daily schedules. Ensures orientation of clients to the program schedule and client safety at all times.
- Ensures proper, accurate and timely documentation of client information and progress
- Provides onboarding, orientation, supervision, training and coaching of all BHAs.
- Assists the Charge Nurse with assignments for BHAs, group coverage, charting, breaks, environmental and safety rounds and codes.
- Ensures adequate staff coverage and staff - ratio compliance. Plans and develops unit schedules.
- Ensures the wellbeing of clients and provide a positive, supportive and structured environment, under direction of charge nurse or supervisor.
- Applies de-escalation techniques to help manage client’s emotions, behavior and participation in treatment and assist with seclusion and restraint when necessary.
- Oversees or facilitates the admission discharge processes.
- Manages the maintenance of records. Reviews content, accuracy and timeliness of paperwork required by milieu staff. Ensures 100% compliance of client records.
- Participates in rehabilitation and treatment programs as well as teach strategies to promote client wellness and independence.
