Wooden Hill Brewing Company is seeking a highly organized and detail-oriented individual to join our small but bustling Administrative & Events Team!
Join our team as an Event Coordinator/Administrative Assistant and play a key role in bringing exciting taproom events to life! You’ll be responsible for scheduling, coordinating events, and assisting with creative social media marketing to boost our presence. You’ll collaborate closely with our Director of Events, providing support while contributing fresh ideas to expand our event business and social media reach. - Answer phone calls, texts, and emails promptly and professionally, ensuring a positive experience for all inquiries.
- Create engaging marketing materials and taproom signage (e.g., trivia signs, posters) using Canva design software.
- Oversee menu management, keeping projector, online, QR, and printed menus up to date as needed.
- Monitor and respond to emails in our 'Events' and 'Info' inboxes
- Field customer and vendor inquiries, providing clear, timely, and helpful information.
- Attend daily event huddles, collaborating closely with the administrative and event teams to ensure smooth operations.
- Stay knowledgeable about our products, services, and key details (e.g., beer specs, allergens) to provide accurate information.
Event Coordination:
- Meet with customers for tours of our event spaces, discussing event details and assisting with planning.
- Prepare weekly event documentation, including reservation signs and event detail sheets.
- Set up for events, including table/seating layout, food tables, projectors/TVs, microphones, and more.
- Communicate with vendors (catering, DJ, photographer, florist, etc.) to ensure everyone is aligned on the event plan.
- Execute events from start to finish, coordinating with different departments and team members as needed.
- Serve as the primary day-of point of contact, ensuring smooth event operations.
Social Media & Marketing:
- Create and share dynamic content across social media platforms (Instagram, Facebook, TikTok) to highlight our beer, food, team, and merchandise through images and videos.
- Stay on top of social media trends to keep content fresh and engaging.
- Post daily to our feed and stories, keeping followers updated and engaged.
- Respond to social media comments and messages promptly and professionally.
- Develop and send out our weekly newsletter, ensuring engaging, accurate content.
Additional Duties:
- Perform other duties as assigned, contributing to the success of the team and events.
Position Type/Expected Hours of Work:
- This is a full-time role with a minimum commitment of 35 hours per week. Overtime may be required, subject to approval by the Director of Events. The position requires flexibility to work during both open and closed hours of the taproom. Hours will be scheduled around events, meetings, and other duties. Typical schedule will be Wednesday-Sunday, open availability required. Mondays and Tuesdays as needed for large events. Availability to work on holidays when the taproom is open is also a must.

Must Haves
- You must be at least 21 years old.
- 2 years experience in a customer service setting
- You must have valid identification in the form of a state issued ID, Drivers License and/or US Passport.
- You must be vaccinated for COVID-19 within 30 days of hire date.
- High school diploma or GED required.
- Able to read and follow written English instructions.
Preferred Education and Experience
- 2 years of experience in a high-volume, fast-casual taproom or restaurant environment.
- 2 years of experience in event coordination or an equivalent administrative role.
Compensation
- Compensation for taproom and event duties: hourly rate plus applicable customer gratuities
- Compensation for office hours (includes training and PTO): starting at $20 per hour, commensurate with experience
Travel Occasional travel (up to 5-10%) is required, including participation in local event-specific meetings and conventions.
