Starting Salary :   $55,000 - $65,000

Employment Type :   Full-Time, Salary

Work Environment :   In-Person, Monday through Friday, Occasionally requires long hours and / or weekend work

Job Summary :

The Customer Service Representative (CSR) in a manufacturing facility is responsible for managing customer inquiries, processing orders, and ensuring accurate and timely deliveries. This role also includes supporting logistics and transportation functions when necessary, assisting with shipment coordination, and providing backup for transportation planning tasks as needed. The CSR will work closely with internal teams to maintain smooth operations and a high level of customer satisfaction. This position reports directly to the Logistics Manager. No supervisory responsibility.

Duties & Responsibilities :

Customer Service Support

  • Act as the primary point of contact for customers, answering inquiries related to product availability, order status, and shipping details.
  • Process customer orders accurately and promptly, ensuring timely order fulfillment.
  • Resolve customer complaints or issues related to products, orders, or shipping, escalating complex issues as necessary.
  • Provide regular updates to customers on order status, changes, or delays.
  • Maintain customer records, ensuring accuracy in CRM systems, and tracking order history.

Order Management

  • Coordinate with sales, production, and inventory teams to ensure the timely availability of products.
  • Manage the order entry process and communicate schedules with warehouse and shipping departments.
  • Collaborate with production and shipping teams to ensure that orders are prepared and delivered as promised.
  • Collaboration and Communication

  • Liaise with internal teams (production, warehouse, inventory) to ensure smooth communication and order fulfillment.
  • Interface with external parties, including customers, suppliers, and transportation providers, to ensure deliveries are on time and meet quality standards.
  • Communicate feedback and trends from customers to management for ongoing service improvement.
  • Problem Solving and Process Improvement

  • Proactively address and troubleshoot potential issues related to customer orders, product availability, or delivery schedules.
  • Collaborate with relevant teams to resolve problems and ensure customer satisfaction.
  • Identify and recommend improvements in internal processes to streamline operations and enhance overall customer experience.
  • Logistics and Transportation Support

  • Assist in coordinating shipment schedules, track deliveries, and support transportation activities.
  • Help resolve any transportation or logistics-related issues in collaboration with the appropriate teams.
  • Provide backup support to the Transportation Planner by assisting with logistical coordination when required, ensuring that transportation plans align with production and customer requirements.
  • Perform other duties as assigned.

  • Requirements :

  • Strong communication skills, both verbal and written, with the ability to interact effectively with customers and internal teams.
  • Excellent organizational skills, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with customer management software (CRM systems) and order processing tools.
  • Ability to work independently and collaborate within a team-oriented environment.
  • Problem-solving skills, with a focus on identifying issues and providing practical solutions to enhance customer satisfaction.
  • Additional Skills :

  • OSHA 10 or 30-hour certification is a plus.
  • Manufacturing experience is preferred.
  • Physical Demands :

    This person is expected to perform work in the office and on the manufacturing floor / environment. While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. The employee must occasionally lift or move up to 25 pounds.

    Travel :

    This position does not require travel to other Woodgrain locations.
