These are second opinion evaluations conducted as part of the workers' compensation, liability, and disability claims process. Applicants should understand we are not a medical clinic and we do not see patients. This position is a M-F, 8am-5pm, in-office position.
The Medical Records Specialist’s primary responsibility is to maintain a high level of customer service while collecting, tracking and distributing medical records and reports in accordance with established laws and regulations regarding confidentiality.
Key Duties and Responsibilities
- Collect medical records and cover letters needed. Contact clients for retrieval as necessary.
- Track and follow-up on medical records and cover letters to be sent to physicians.
- Log in all incoming records and cover letters received from clients.
- Log out records to be sent via paper and electronic form.
- Keep the flow of reports to the proofing department and the quality assurance department consistent.
- Communicate overdue reports to appropriate physicians who are late with their dictation.
- Delegate and prioritize physician dictation to transcriptionists. Track and follow-up on late dictation, escalating to appropriate personnel as needed.
- Answer Medical Records calls.
- Monitor the Medical Records email account.
- Sort daily mail and distribute to appropriate departments.
- Request and check in/out films.
- Respond to various client and physician needs.
Position Requirements

- The ability to read, write and comprehend English; ability to follow oral and written instruction.
- Intermediate computer and database skills with proficiency using the internet and email.
- One (1) year of medical records or medical office experience and knowledge of medical terminology preferred.
- Exceptional attention to detail and organizational skills.
- Excellent multi-tasking and prioritization skills with a strong sense of urgency.
- Demonstrated teamwork orientation with effective interpersonal skills.
- Excellent internal and external customer service skills and the ability to maintain a positive attitude under pressure.
- The ability to maintain the confidentiality of claimant information.
- A sense of humor and ability to inject fun into their work!
Working Conditions/Physical Demands
- While performing the duties of this job, the employee is regularly required (for the majority of the working day) to sit and make coordinated movements of their fingers for data entry on a keyboard.
- Ability to lift up to 20 pounds.
