Client Service Associate

Job Description


Provides direct internal service and support by performing a variety of complex duties in the areas of portfolio accounting, client service, office administration and/or general firm operations to facilitate a high-quality client experience.


Principal Accountabilities:

1. Portfolio Accountant:

  • Data entry and reconciliation as it relates to account transactions across multiple custodians. Upload data with Microsoft Excel.
  • Complete new account set up within Tamarac Reporting and CRM.
  • Perform daily/weekly/monthly auditing and trade reconciliation within Tamarac Reporting & Trading suite.

2. Client Service:

  • Manages all requests and follow-up necessary to service investment accounts, including but not limited to processing applications, deposits, withdrawals, and transfers.
  • Answers incoming calls and emails in a professional manner, providing routine information or referring to the appropriate team member when needed.
  • Actively participates in Quarterly Reporting Cycle and completes back-end processing according to firm procedures.
  • Completes routine client correspondence and emails in a timely and accurate manner while keeping the Portfolio Manager informed of any pertinent developments.

3. Administrative support:

  • Executes all functions necessary to maintain accurate electronic records and database of prospect and client information in accordance with compliance guidelines and regulations.
  • Effectively utilizes CRM system to maintain records in an accurate, up-to-date manner.
  • Supports and completes special firm-wide projects as assigned.
  • Actively builds efficiencies and effectiveness into administrative and operational tasks.

4. General

  • Greets visitors and clients in a warm, welcoming manner.
  • Assists with general office duties as assigned including processing mail, client deposits, meeting preparation etc.
  • Approaches work, interactions and relationships in a manner consistent with the firm’s Code of Ethics and general philosophy of acting in the client’s best interest.


Qualifications:

  • Organizes and expresses thoughts clearly and concisely in both speaking and writing
  • Demonstrated computer proficiency with Microsoft Office products. Knowledge of Tamarac Reporting suite and Quickbooks preferred.
  • Capability to effectively prioritize with the ability to complete multiple time-sensitive tasks in a fast-paced environment
  • Strong organization and time management skills
  • Personal integrity and ability to discreetly handle confidential data
  • Effectively contribute to a team environment while maintaining a strong sense of self-directed task management and independence.
  • Desire to provide exceptional internal and external customer service
  • Proven technical and analytical skill set with a focus on creative problem solving


Education, Experience & Skills:

  • Collegiate coursework or Bachelor's degree in Management, Business, Finance, Accounting or a related field is desired.
  • Minimum of three (3) years prior experience in an administrative support, client service, or accounting role in a financial or investment company is strongly preferred.
