We are seeking a motivated and detail-oriented Experienced Receptionist / Front Office Legal Assistant to join our fast-paced law firm in Shelby Township. This position is ideal for someone with prior office or receptionist experience looking to work in a professional, client-focused environment. While no legal experience is required, candidates should bring strong customer service skills, organizational abilities, and a positive, professional demeanor to the front office.

Position Overview: As the first point of contact for our clients, you will be responsible for delivering exceptional customer service and providing critical administrative support. The ideal candidate will have a proven track record of handling multi-line phone systems, managing client intake, and performing clerical tasks with high efficiency. Your attention to detail, excellent communication skills, and ability to handle a variety of office duties will play a key role in creating a welcoming and efficient office atmosphere.
Work Schedule:
- Monday to Thursday: 8:00 AM - 5:00 PM
- Friday: 8:00 AM - 3:00 PM
- Full-Time (No evenings or weekends required)
Key Responsibilities:
- Front Desk Operations: Answering multi-line phone system, screening calls, taking accurate messages, and assisting clients with inquiries in a friendly and professional manner.
- Client Interaction: Managing client intake, conducting follow-up calls, scheduling appointments, and maintaining confidentiality and integrity of client information.
- Clerical Support: Typing general correspondence, proofreading documents with strong attention to detail, and composing letters to government offices.
- Office Management: Scanning, filing, faxing, and distributing incoming mail; ensuring smooth office operations through efficient task management.
- Document Preparation: Assisting with the assembly of estate planning documents for client execution and ensuring the timely delivery of materials.
- Proficiency in Microsoft Office 365: Composing and responding to emails, managing appointments, and entering detailed notes in Outlook Calendar.
- Payment Processing: Receiving client payments and issuing receipts in a timely and accurate manner.
Required Skills & Qualifications:
- Prior Office Experience: A minimum of 1-2 years in a receptionist or administrative role is required (legal experience not necessary).
- Strong Communication Skills: Ability to maintain a professional and friendly demeanor while handling phone calls, emails, and in-person client interactions.
- Attention to Detail: Ability to proofread documents and ensure accuracy in all tasks.
- Tech-Savvy: Proficiency in Microsoft Word, Excel, Outlook, and other Office 365 applications.
- Multitasking & Time Management: Capable of managing multiple tasks simultaneously in a fast-paced environment, with excellent organizational skills.
- Dependability & Punctuality: Must demonstrate a reliable and consistent work ethic.
