Job Summary:

The Assistant Controller will be responsible for overseeing the processing of the weekly payroll, while fully engaging in the day-to-day accounting functions. This role will also assist in the monthly financial statement’s preparation and reporting, while working closely with the CFO and other department heads to ensure timely, accurate financial processes. This role involves assistance with budgeting, forecasting, and financial analysis, along with support in the management of Northstar Accounting system. The ideal candidate must have a bachelor’s degree in accounting, and 5-10 years of accounting experience, particularly in hospitality or the non-profit sector.

Key Responsibilities:

Payroll Processing & HR Administration:

· Responsible for overseeing the weekly processing of payroll via Paycom.

· Work closely with department heads to ensure employees’ questions or concerns are addressed in a timely manner.

· Assist with the onboarding of new hires.

· Responsible for proper record keeping of employee data.

· Assist in managing benefits administration.

Financial Reporting and Compliance:

· Assist in preparing comprehensive monthly financial statement packages, including statements of financial activities, financial position, and cash flows.

· Conduct monthly reconciliations of general ledger accounts, ensuring adherence to GAAP and the accuracy of financial reports.

· Manage bank reconciliations, ensuring the accuracy of cash entries.

· Assist with maintaining the fixed asset ledger and depreciation schedules to ensure accurate capital asset reporting.

· Assist in preparing and filing monthly state sales, use, beverage, and gross receipts taxes.

· Assist in the preparation of audit schedules for the annual 401K and financial statement audits.

· Provide support for annual, quarterly, and monthly tax provisions, including year-end tax return support and state/local tax compliance.

Operational Finance Management:

· Perform weekly payroll processing, including 401K employer match funding, and maintain compliance with payroll tax filings.

· Assist in making annual recommendations to leadership on improving policies, compensation structures, and employment practices.

· Manage accounts payable, ensuring vendor files are complete, approvals are obtained, and vendor reconciliations are performed accurately.

· Maintain Northstar Club Management systems for accounting, membership, and POS processing.

· Conduct daily revenue reconciliations and monitor cash deposit activities.

· Manage member billing processes, including posting non-POS batches, sending monthly statements, and handling member inquiries.

· Oversee membership delinquency process and work with CFO to resolve delinquent matters.

· Supervise vendor reconciliations, handle collections and bad debt calls.

· Ensure compliance by maintaining Certificates of Insurance (COI) and W-9 forms for all vendors.

Budgeting and Strategic Financial Planning:

· Assist the CFO in preparing and executing annual operating, capital, and cash flow budgets in coordination with the General Manager/COO and Finance Committee.

· Provide weekly/monthly financial reports, including daily flash reports, for internal review by department heads and the finance committee.

· Assist with cash flow forecasting, including the preparation of variance analysis reports.

· Participate in process improvements, optimizing efficiencies in accounting and reporting functions, and identifying manual or non-effective tasks for streamlining.

Leadership and Team Management:

· Support a collaborative team environment within the accounting and finance department, consisting of the CFO, Assistant Controller, Accounts Payable Associate, and Accounts Receivable Associate.

· Lead by example as a servant leader, promoting teamwork, clear communication, and effective collaboration across departments.

· Stay abreast of developments in the accounting field, specifically related to hospitality, club management, and financial reporting.

· Strong interpersonal skills, with the ability to lead and work in a team environment.

· Ability to communicate effectively with department heads, members, and other stakeholders, providing financial insights and problem resolution.

Qualifications:

· Bachelor’s degree in accounting, Finance, or Business Administration, with a focus on Accounting.

· A minimum of 5-10 years of accounting experience, preferably within the hospitality or non-profit sector.

· Experience with generating financial statements and cash flow analysis.

· Public accounting experience a plus.

· Previous experience overseeing staff and managing accounting functions, including financial audits and tax compliance.

· Strong knowledge of GAAP and financial reporting standards.

· Experience with financial systems and reporting software, with the ability to optimize technology for workflow efficiency.

· Excellent organizational skills with a focus on accuracy and attention to detail.

· Ability to multitask and manage competing priorities while maintaining deadlines.

· Familiarity with Northstar Accounting system a plus.
