Job Summary:
We are looking for a highly organized and proactive Administrative Coordinator to oversee a range of office operations, including coordinating schedules, managing supplies, handling customer inquiries, and supporting the team to ensure a smooth workflow. This role requires an individual with excellent communication and organizational skills, a strong attention to detail, and the ability to handle multiple tasks efficiently. You will play a crucial role in keeping the office running smoothly and ensuring customer needs are met.
Key Responsibilities:
Office Coordination & Administration:
- Oversee daily office operations, ensuring the office is organized, efficient, and runs smoothly.
- Develop and implement office policies and procedures to improve overall workflow and efficiency.
Job Scheduling & Coordination:
- Process online quotes and assist customers in selecting services that meet their needs.
- Coordinate and schedule jobs, appointments, and service calls, ensuring all parties are informed and schedules are optimized.
- Work closely with customers, crew leads, and vendors to confirm appointments, manage expectations, and ensure timely service delivery.
Customer Service & Support:
- Serve as the first point of contact for customer inquiries, providing prompt, professional responses via phone, email, and in-person.
- Follow up with customers to ensure satisfaction and address any concerns regarding their services.
- Interface with the sales team and coordinate sending digital and physical materials to customers in the commercial customer pipeline.
Team Support & Communication:
- Provide administrative support to management and team members as needed.
- Communicate and collaborate with internal teams to ensure all job requirements are met.
- Assist in coordinating team meetings, taking notes, and following up on action items.
Qualifications:
- Education: High school diploma or equivalent; additional education or certifications in office administration or project management is a plus.
- Experience: At least 2-3 years of experience in administrative or office coordination role, preferable in a service or technical industry.
- Physical Requirements: Ability to sit and work at a desk for extended periods. Occasional lifting of office supplies and materials (up to 25 lbs).
Preferred Skills & Attributes:
- Proficiency in office software (Microsoft Office Suite, etc.) and scheduling tools.
- Excellent communication skills, both written and verbal, with a strong customer service focus.
- Strong organizational and multitasking abilities, with a keen attention to detail.
- Ability to work under pressure and adapt to changing priorities.
- Prior experience with job scheduling, inventory management, and client relations is preferred.
- Strong problem-solving skills and a proactive, solution-oriented approach.
