We are seeking a highly organized and motivated Office Manager to oversee daily operations, enhance patient experience, and support our dental team in delivering exceptional care.
Office Manager Job Summary: The Office Manager will be responsible for the overall management of the front office, ensuring smooth day-to-day operations, financial efficiency, and a positive patient experience. This role requires excellent leadership, communication, and problem-solving skills, along with a strong understanding of dental office procedures, insurance processing, and administrative duties.
Key Responsibilities:
Administrative & Office Management:
- Maintain office policies, procedures, and compliance with dental regulations.
- Handle correspondence, scheduling, and communication with vendors.
- Manage office supplies, equipment, and maintenance needs.
Patient Relations & Customer Service:
- Ensure a welcoming and professional environment for all patients.
- Oversee front desk operations, including appointment scheduling, patient check-in/out, and record management.
- Address and resolve patient concerns or complaints in a timely and professional manner.
Financial & Insurance Management:
- Oversee billing, coding, and insurance claim processing to ensure timely payments.
- Manage accounts receivable and payable, including patient billing and collections.
- Monitor and track office budget, expenses, and financial performance.
Human Resources & Staff Leadership:
- Supervise front office staff, including hiring, training, and performance evaluations.
- Develop staff schedules to ensure proper coverage and workflow.
- Foster a positive and collaborative work environment, promoting teamwork and professional growth.
Compliance & Record-Keeping:
- Ensure HIPAA compliance and maintain patient confidentiality.
- Ensure compliance with OSHA and other regulatory requirements.
Office Manager Qualifications & Skills:
- Experience: Minimum 2-3 years of office management experience, preferably in a dental or healthcare setting.
- Strong leadership and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Proficiency in dental practice management software, Eaglesoft preferred.
- Knowledge of dental insurance, billing, and coding.
- Ability to multitask and work in a fast-paced environment.
