Job Summary
Perform general and advanced fleet compliance functions within the License & Permitting department and overall business.
Essential Duties and Responsibilities
- Completes clerical/administrative assignments in accordance with established procedures and under general instruction.
- Prints, scans, and updates documents in accordance with established office practices.
- Creates and files documents relating to the operation of the department.
- Updates department spreadsheets as needed.
- Responds to both customer communications as well as internal departments and locations in an accurate, timely and professional manner and investigate and elevate customer complaints or concerns.
- Monitors emails daily from both internal and external customers and proceeds in accordance with established procedures and under general instruction.
- Creates, reviews, and maintains reports from data in various systems.
- Opens and routes incoming mail and prepare outgoing mail.
- Orders and keeps track of supply needs for the department.
- Assists in the administration and office support functions by maintaining departmental records.
- Assists with drafting and preparing written documents, spreadsheets, and presentations.
- Assist with customer invoicing and audits.
- Performs special projects and completes all other duties as assigned or requested for the general support of the organization.
- May assist other departments with needs.
- Cross train within the department for support functions.
- Expected to adhere to company policies and guidelines including but not limited to the companys attendance and tardiness policy.
- Other duties as assigned.
Requirements
- High school diploma, Associates degree preferred.
- 2 years experience in an administrative support role.
- Advanced skills with Microsoft Office including Word, Outlook and Excel.
- Transportation experience required.
- IFTA experience required.
- Fuel Tax administration/calculation experience preferred.
- AS400 experience preferred; not required.
- Excellent communication and interpersonal skills.
- Strong organizational skills, attention to detail and ability to prioritize multiple tasks.
