The Role
The Dispatcher will provide schedule support for Distribution sector of Workplace Resource, maintaining a work schedule based on requests for delivery, install, service, product shipments, and other labor requests. The Dispatcher is responsible for supporting end-to-end logistics operations, providing detailed information to various departments, customers, and employees with a high level of efficiency and customer service. This role requires strong organizational skills, attention to detail, and the ability to collaborate with others regarding scheduling.
What You Will Do
Essential Job Responsibilities
- Maintains solid business relationships by communicating, problem-solving and following up on regular basis with internal partners and customers to their satisfaction.
- Develops strategies for continuous improvement and build relationships with subcontractors who can provide bid support with direction.
- Maintains the company’s field and warehouse schedules on a day-to-day basis, with the supervision of the Distribution Manager and Logistics Coordinator.
- Scheduling based on the request types, including but not limited to; delivery, installation, reconfiguration of product and/or service labor at a customer’s site, according to the specifications of the project.
- Prioritizing project back log and ensuring all email requests are kept up to date.
- Organizes schedule by studying job order specifications and current schedule to meet the needs of active orders.
- Verifying that all products have been received at the warehouse prior to scheduled date.
- Determining availability of staff and subcontractors to deliver, install/reconfigure product and/or provide cleaning and move services at a customer’s site.
- Reviews each order to ensure all necessary information (clear scope of work (SOW), design drawings (if applicable), client contact information, installation information, team member order access, etc.) is included to complete the job to the customer’s expectations.
- Distributes schedules and any applicable paperwork to installers and service work orders for technicians.
- Proactively communicates (via telephone/voice mail/text messaging or email) with the team member(s), sub-contractors, various departments, and customer contacts about setting up the time, number of workers that will be at a customer site, potential delays, changes to the scope, or any problems that may occur.
- Coordinating truck allocation for various project needs daily, including but not limited to; dock/height restrictions, product load assessment, out-of-town travel, etc.
- Coordinating travel and lodging for any out-of-town projects scheduled for the designated install team.
- Oversee installation time sheets, ensuring accurate recording of hours worked and timely submission for payroll processing as needed.
- Understand and support the receiving process to ensure warehouse processes are executed, combining the Kham/IQ procedures to ensure efficient and accurate inventory management.
- Provide support for MKPS initiatives, problem solving, special projects and continuous improvement of logistics operation.
Qualifications and/or Experience
The preferred candidate will hold a high school diploma or minimum of 2-3 years working in a similar position preferably within the office furniture industry, or equivalent combination of education and experience.
- Working in a similar position within the office furniture industry or related field.
- Achieving and maintaining technical and professional proficiency related to current job position and areas of expertise, specifically order processing, clerical, and data entry, working knowledge with Microsoft Office Suite and company-specific software.
- Demonstrating detail orientation and the ability to coordinate multiple responsibilities, understanding the importance of doing quality work, adhering to the standards to prevent errors, and working effectively with high volume workload.
- Achieving results by driving issues to closure and getting the job done on time.
- Demonstrating dependability by fulfilling commitments consistently and reliably.
- Demonstrating flexibility and adaptability by being able to change course swiftly and purposefully when the needs of the business change, working irregular hours and extended shifts.

Work Environment and Physical/Mental Demands
The position requires working typically in a professional office environment, including some time in the field, such as traveling to various client locations within Colorado. This role routinely uses standard office equipment such as office phone/smartphone, computer/laptop/computer keyboard/mouse, photocopiers, filing cabinets and printers. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to visit and move around at construction and other customer/work sites, wearing appropriate safety protective gear. Ability to lift, carry, and otherwise transport work-related materials that frequently weigh up to 10 lbs. and that may occasionally weigh in excess of 25 lbs. Ability to work with numbers, research complex issues and resolve problems. Requires more advanced mathematical skills in order to understand spatial requirements and in doing bids. Must be able to read and comprehend complex written material, as well as ability to analyze, compare, evaluate, reconcile, and order data.
